About the Role

Greenberg Traurig (GT), a global law firm, seeks a Legal Support Specialist to provide high-level legal support, complex technical services, document processing, and administrative support to attorneys. This role is crucial for managing attorney responsibilities, coordinating with clients, and ensuring efficiency and accuracy in a fast-paced environment.

Responsibilities

  • Coordinates creation, editing, proofreading, and processing of legal documents.
  • Maintains and organizes legal files, both paper and electronic.
  • Updates case information and scans legal files.
  • Manages document deliveries and tracks final executed documentation.
  • Receives and evaluates telephone calls for supported attorneys.
  • Communicates with clients, opposing counsel, courts, and liaisons.
  • Collaborates with Paralegals and other legal support team members.
  • Attends team strategy meetings.
  • Understands and leverages firm available resources effectively.
  • Assists with overflow work and special projects.

Requirements

  • Skilled in administrative tasks such as attorney time entry, travel arrangements, and processing invoices and expenses.
  • High attention to detail and outstanding organizational skills.
  • Ability to manage time effectively.
  • Excellent interpersonal and communication skills (oral and written).
  • Professional demeanor and presentation.
  • Ability to collaborate well in a team.
  • Recognizes and maintains confidential information.
  • Ability to work under pressure to meet strict deadlines.
  • 3 years of experience within a law firm or other professional organization.
  • Knowledge of laws, legal codes, court procedures, or agency rules.
  • Experience with e-filing.
  • Computer proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook).
  • Proficiency with document management and other office technologies.
  • Exceptional computer skills and ability to learn new software applications quickly.
  • Understanding of AI capabilities, limitations, and responsible use.
  • Familiarity with, or willingness to learn, firm-approved AI tools.
