About the Role
Athena Group Advisors is seeking a Senior Associate of Events to support the family office enterprise, its clients, and affiliated non-profit organizations. This role requires meticulous attention to detail, a focus on delivering high-quality events, strong judgment, discretion, and creative problem-solving.
Responsibilities
- Develop an annual corporate event strategy in partnership with stakeholders.
- Plan and execute small, bespoke internal events.
- Coordinate with external vendors, including event planners, for event execution.
- Build events, communication campaigns, and marketing collateral, tracking registrations and engagement.
- Create an event-in-a-box playbook and resource center to scale events.
- Manage systems and reporting for team dashboards and platforms, including engagement activity reports and post-event analysis.
- Serve as the primary point of contact for external partners booking the event space.
- Manage the event space, including branding, marketing, partner requests, and agreement negotiation.
- Supervise pre-event setup and post-event breakdown/cleanup.
- Be present on-site during events to ensure smooth execution and serve as an escalation point.
- Maintain partner and vendor agreements, liability insurance, and event documentation.
- Coordinate catering, food and beverage logistics, and other day-of event logistics for external partners.
- Create an event-in-a-box playbook and resource center for external events.
Requirements
- 8+ years of experience planning and executing large-scale corporate events in a fast-paced environment.
- 4+ years of experience planning and executing small, personal bespoke events.
- Proven track record of supporting high-quality, memorable experiences and managing to a budget.
- Demonstrated ability for accuracy and thoroughness with an eye for detail.
- Outstanding written and verbal communication skills.
- Ability to participate in cross-functional team event execution from idea through post-production analysis.
- Comfortable collaborating closely with internal stakeholders and external planning partners.
- Ability to effectively troubleshoot and resolve last-minute needs in fast-paced, high-visibility situations.
- High EQ; able to persuade, influence, and build trust at the team and executive levels.
- Strong partnership skills; ability to build trust connections across the enterprise, within the portfolio, and with operating industries.
- Effective project management skills across functional initiatives.
- Comfortable navigating ambiguity and translating goals into meaningful plans and metrics.
- Strong sense of ownership and accountability for outcomes, follow-through, and initiative.
