About the Role

The Onboarding Specialist is responsible for guiding clients through the onboarding process with professionalism and efficiency. This role coordinates with internal teams to set clear expectations and ensure timely account set up and customization.

Responsibilities

  • Serve as central point of contact for onboarding new clients
  • Coordinate between client, advisor, and additional support teams to execute & track client onboarding progress
  • Support data input for new clients in Salesforce and Portfolio Accounting Software
  • Prepare and track new client agreement, custodian account opening, maintenance, and transfers paperwork thru the process, including any SLOAs that need to be established
  • Reconcile transferred assets and ensure cost basis transferred properly
  • Confirm account set up at custodian and in Salesforce and Portfolio Accounting Software
  • Confirm billing is set up and if needed initiate initial invoice
  • Confirm any reporting is set up correctly
  • Confirm client portal is set correctly
  • Confirm any loose ends at prior custodian are done (RMDs, residual transfers, terminate auto payments)
  • Confirm any restrictions communicated to trading team
  • Ensure smooth handoff to Client Success Specialist

Requirements

  • Bachelor's degree from an accredited institution or strong equivalent experience
  • Preferred at least 3 years’ experience in Wealth management
  • Savvy with Technology: Salesforce, Portfolio Accounting Software, DocuSign, Microsoft Suite (competency or ability to learn quickly)
  • Experience with custodian interaction and project management preferred

Salary/Compensations

  • CA$42,500 to CA$71,000
