About the Role
La Scuola International School seeks an Office & Campus Manager to oversee the daily administrative, logistical, and operational functions of its Silicon Valley campus. This role serves as the primary point of contact, building relationships with students, families, employees, vendors, and community partners, while supporting the effective implementation of the school’s daily program and ensuring compliance with applicable laws and safety procedures.
Responsibilities
- Oversees, coordinates, and performs day-to-day administrative and operational functions for the Silicon Valley campus.
- Manages the campus office and front desk, including answering phones, receiving mail, and maintaining a welcoming environment.
- Serves as the primary campus point of contact and directs inquiries appropriately.
- Maintains an organized, clean, and stocked office and common areas.
- Manages student enrollment forms, information systems, attendance, and related records.
- Provides administrative and operational support.
- Serves as the primary point of contact for student drop-off and pick-up and may provide classroom support.
- Identifies and recommends process improvements for operational efficiency.
- Performs other related duties and provides administrative support to faculty and staff.
- Supports summer and holiday camps and facility rentals.
- Works with the team to prepare event, logistical, and operational communications.
- Prepares materials for staff meetings, committee meetings, and other school activities.
- Coordinates appointments and supports campus calendar management.
- Communicates and escalates operational, student, or community concerns to school leadership.
- Coordinates daily duty and coverage schedules for campus faculty and staff.
- Maintains and updates relevant campus calendars and schedules.
- Coordinates coverage for employee absences.
- Provides classroom, student, or campus coverage when necessary.
- Assists with student arrival, dismissal, breaks, and other supervision needs.
- Maintains required Title 22 licensing files and documentation and ensures compliance.
- Supports compliance with California laws, fire codes, and school health, safety, and security procedures.
- Maintains a current Site Supervisor Permit and other required professional credentials.
- Communicates with school leadership regarding licensing or compliance concerns and supports corrective action.
- Cooperates with licensing representatives and government regulators during inspections.
- Collaborates with teams to coordinate school events, meetings, and community activities.
- Manages event logistics, including scheduling, communications, materials, and setup.
- Coordinates staff participation and oversees parent volunteers for campus events.
- Ensures events are appropriately staffed and conducted in accordance with safety and facility-use requirements.
- Enters, maintains, and updates information in school databases, electronic records, and physical files.
- Maintains student records, family rosters, attendance documentation, and campus office files.
- Runs reports and prepares information as requested.
- Maintains confidential records in accordance with school policy and legal requirements.
- Assists with student transcripts and other school records.
- Supports enrollment and re-enrollment processes.
- Assists families with required forms and documentation.
- Helps orient new students and families to the campus and its procedures.
- Responds to routine family questions and connects families with appropriate departments.
- Provides students and employees with routine administrative assistance and information.
- Assists with field-trip scheduling, documentation, and logistical preparation.
- Supervises students sent to the office for health, behavioral, or disciplinary reasons.
- Provides classroom or student supervision when needed and consistent with requirements.
- Communicates student concerns to school leadership and supports disciplinary protocols.
- Administers basic first aid within the scope of training and protocols.
- Dispenses medication in accordance with authorization and school procedures.
- Contacts parents or guardians regarding ill or injured students and documents incidents.
- Coordinates campus emergency drills and maintains related records.
- Helps ensure campus safety, security, and emergency-response systems are operational.
- Supports implementation of communicable-disease protocols and public-health requirements.
- Communicates health and safety concerns promptly to school leadership.
- Monitors campus daily facilities needs in collaboration with the Director of Facilities.
- Reports facility concerns and coordinates maintenance, repairs, and equipment service.
- Helps ensure the campus is clean, organized, safe, and well-maintained.
- Coordinates the use of shared spaces with partner schools and organizations.
- Helps ensure safety and security equipment and systems are operational.
- Supports Summer Camp operations and facility rentals.
- Assists with planning and coordinating campus improvements.
- Supports the daily administration of the on-site meal program.
- Maintains current student allergy and dietary-restriction information.
- Serves as a campus liaison with the food-service provider.
- Communicates relevant meal-program information to families and employees.
Requirements
- Current Site Supervisor Permit.
- Two years of responsible clerical or secretarial experience, preferably in a school setting.
- Valid first aid and CPR and Basic First Aid certificate EMSA compliant within six months of employment.
- Valid Driver’s License.
- Criminal Justice Department and Federal Bureau of Investigation Fingerprint Clearance.
- Physical and TB Clearance.
- Current Mandated Reporter Training (Child Care Providers, including General Training, and SB848 Child Abuse Prevention).
- Must be authorized to work in the U.S.
- Final candidate will need to pass Criminal Justice Department and Federal Bureau of Investigation Fingerprint Clearance, a physical exam, and provide recent copy of a negative TB test/assessment and other immunization records.
