About the Role
San Francisco Day School is seeking a warm, welcoming, calm, mature, and professional individual to serve as the Front Office Receptionist. This role is crucial for front office operations, communications, student attendance, and acts as a liaison between administration, faculty, and families.
Responsibilities
- Answer or redirect general questions (in-person/phone/email) from the school community.
- Manage the Schoolpass@sfday.org email, responding to family inquiries and troubleshooting issues.
- Support new families with SchoolPass onboarding.
- Provide admissions reception support.
- Collaborate on parent/teacher conferences, including bridging meeting links, sign-ups, and coordination.
- Ensure daily attendance is recorded in SchoolPass for all employees and students.
- Remind employees to take attendance by 9:00 am and contact parents for unexcused absences daily.
- Communicate dismissals after the SchoolPass cutoff time.
- Inform teachers and security of student arrivals and departures based on family updates.
- Update and maintain the faculty and staff list of room phone numbers and offices.
- Create and maintain 'Front Office' Norms documentation for desk coverage.
- Document phone calls made from students in the front office.
- Sort physical mail into mailboxes using the Verkada system.
- Support the school photos process from start to finish with the PGA, including vendor management, student representation, and schedule creation.
- Organize and manage materials for the start of school (e.g., placards).
- Provide coverage and support for the health office and other administrative staff as needed.
- Lead the Sunshine Committee to recognize employee life moments or milestones, including budget management.
- Maintain a clean and professional front office environment.
- Support graduation preparation, including robes, photographers, and stoles.
- Participate in operational check-in meetings as necessary.
- Provide flexible general administrative support for ongoing needs.
Requirements
- Must be comfortable around children and possess a warm, welcoming, and professional presence.
- Clear and tactful communication skills.
- Strong ability to multitask between small and large projects.
- Excellent organizational skills.
- Proficient in Google Suite and Microsoft Suite.
- Ability to pass a Federal and State background check.
- Ability to provide a negative TB test.
- Maintain professional behavior during employment.
