About the Role
This role serves as the key reservations contact for group programs, ensuring all details are managed from turnover to the event date. You will attend meetings, prepare reports, and maintain strong relationships with various stakeholders to ensure a seamless guest experience.
Responsibilities
- Serve as the key room reservations contact for group programs, managing the process from initial turnover until the event date.
- Ensure accurate notes, billing, and special requests are completed for group bookings.
- Attend weekly pick-up meetings and assist with group forecasting.
- Consistently offer professional, engaging, and friendly service to guests.
- Prepare and send rooming lists, pick-up reports, and other necessary information to group contacts.
- Maintain positive working relationships with the Global Reservations Centre, Travel Agents, and external/internal guests.
- Respond to all reservation requests and incoming calls courteously, efficiently, professionally, and in a friendly manner, adhering to Fairmont Hotels & Resorts standards.
- Provide administrative support to the Group Housing Manager and efficiently execute action items.
- Perform all other duties as assigned.
Requirements
- Previous hotel experience and/or customer service experience required.
- Experience with Opera PMS and Passkey GroupMax.
- Computer literate in Microsoft Window applications.
- Strong interpersonal and problem-solving abilities.
- Excellent organizational and time management skills.
- Highly responsible and reliable.
- Ability to work well under pressure in a fast-paced environment.
- Effectively deal with guests and other team members.
- Ability to focus attention on guest needs, remaining calm and courteous at all times.
- Maintain confidentiality of proprietary information and protect company assets.
