About the Role
We are hiring an Executive Assistant to support our executive team and help run the company day to day. You will be the operating system behind our executives, protecting their time, running their calendars, and making sure nothing falls through the cracks as we scale aggressively. This is a high-trust, high-ownership seat. You will sit at the center of the company, see everything before anyone else, and be trusted with our most sensitive information and our most important relationships. If you want to be close to the action and become indispensable to a team building a generational company, this is the role.
Responsibilities
- Own the executive calendar, managing complex and shifting schedules across leadership.
- Triage competing priorities, defend focus time, and ensure executives are prepared and on time.
- Run point on communications, managing inboxes and drafting correspondence on behalf of leadership.
- Ensure all internal and external communication threads receive timely responses.
- Orchestrate domestic and international travel, including booking, re-booking, and building detailed itineraries.
- Handle last-minute travel changes efficiently.
- Prepare meeting agendas and briefing documents.
- Capture meeting notes and action items.
- Follow up on action items to ensure completion.
- Run office and team operations, including managing the New York office experience.
- Coordinate team meals and events.
- Manage vendors and maintain the physical office space.
- Support hiring and onboarding processes by coordinating candidate interviews and managing scheduling logistics.
- Assist new hires in getting started effectively.
- Manage details such as expense reports, subscriptions, gifting, and personal logistics.
- Anticipate executive needs before they are expressed.
Requirements
- 3+ years supporting senior executives, ideally a founder or C-suite leader at a high-growth startup, high-performing finance/consulting firm, or similar fast-paced environment.
- Exceptional organizational skills; meticulous tracking and follow-through.
- Excellent written and verbal communication skills, with the ability to represent leadership professionally.
- Ability to remain calm under pressure and gracefully reprioritize tasks.
- Absolute discretion and trustworthiness with sensitive information.
- Proficiency with modern tools including calendar, email, Slack, and AI tools like Claude and ChatGPT.
- A bias toward action and a sense of total ownership.
- An ambitious mindset focused on building a generational company.
- Willingness to take initiative rather than wait for instructions.
- Comfort with long days and a fast pace; a fanatic mentality.
- Excitement about applying AI in the built world.
- Flexibility with a broad role that may include professional and personal tasks.
