About the Role

The Marketing Coordinator supports the engineering staff as an integral member of the Toronto Building Science and Restoration Team, reporting to the Regional Marketing Specialist and the Office Services Manager.

Responsibilities

  • Monitor websites for potential opportunities and update RJC information in various government databases.
  • Send out potential leads to the management group.
  • Track leads, including long-term leads, upcoming proposals, deadlines, and follow-ups.
  • Provide administrative support.
  • Update prospects list.
  • Develop high-quality graphics for proposals.
  • Prepare and manage proposals, ensuring efficient use of senior engineers’ time.
  • Review all RFP requirements and ensure all components are included in proposal submissions.
  • Liaise with other Proposal Coordinators to ensure proper formatting of submitted information.
  • Assist with proposal packaging, binding, and submittal according to RFP outlines.
  • Write, edit, and proofread proposals.
  • Prepare relevant project descriptions in coordination with Project Engineers.
  • Maintain a proposal status table and project forecast to track successful and unsuccessful proposals.
  • Assist with inputting pursuits into the CRM system.
  • Update RJC information in various government databases via the web.
  • Organize and prepare marketing resources, including project write-ups, descriptions, photos, and resumes.
  • Maintain the project database, including writing descriptions, compiling data, and updating information.
  • Coordinate the creation and update of resumes for Principals, Associates, and Project Engineers.
  • Coordinate desktop publishing and graphic layout using software like InDesign, Illustrator, and PowerPoint.
  • Coordinate and edit brochure pages, liaising with Project Engineers for write-ups.
  • Forward approved brochure pages to the Corporate Services Group for website upload.
  • Provide input on promotional material needs.
  • Compile and layout award submissions according to requirements, including tracking down photos and coordinating graphics.
  • Ensure all brand guidelines are followed graphically for all promotional materials.
  • Assist in coordinating client party invitations and boards.
  • Send award updates to the Corporate Services Group for website updates.
  • Prepare and coordinate promotional materials for conferences, e-mailers, and surveys.
  • Tailor promotional packages.
  • Coordinate and organize participation in industry tradeshows and conferences.
  • Coordinate advertising, including creating ads, media liaison, booking space, and proofing ad layouts.
  • Coordinate donations and gifts for client events and fundraisers.
  • Assist the Toronto office with articles and information for the newsletter.

Requirements

  • Degree or Diploma in Marketing, Communications, or related field.
  • Minimum 1-2 years of related experience.
  • Familiarity with the consulting engineering and architectural industry is an asset.
  • Experience with Microsoft Dynamics CRM is a definite asset.
  • Working proficiency in French is an asset.
  • Working proficiency in MS Office Suite (all programs).
  • Experience with Adobe Creative Suite (InDesign, Illustrator & Photoshop) would be considered an asset.
  • Excellent communication, writing, editing, and proofreading skills.
  • Exceptional organizational, time-management, and project management skills.
  • Ability to self-manage project assignments from start to finish with minimal oversight.
  • Ability to handle stressful situations with professionalism and composure.
  • Committed to providing exceptional client service.
  • Able to interact professionally with all levels of business personnel and build strong working relationships.
  • Ability to adapt to changes in workload.
