About the Role

Schweiger is a leading dermatology practice seeking a Full-Time Lead Patient Coordinator for its Rykowski Office. This role involves assisting the General Manager with front office supervision and staff management, ensuring a professional and welcoming atmosphere for patients and staff.

Responsibilities

  • Promote a professional and welcoming atmosphere that enhances the quality of service and care offered to patients, respective providers, PCs, and MAs.
  • Lead by example, maintain office presence and the highest level of professionalism.
  • Assist the GM with finding coverage for necessary shifts due to call outs, emergencies, or PTO.
  • Train and supervise all front office staff.
  • Ensure beginning and end-of-day checklists are performed and signed off daily.
  • Conduct weekly meetings with fellow PCs.
  • Provide weekly feedback to the General Manager regarding employee progress and re-training needs.
  • Oversee front office staff's timely and correct performance of scheduling tasks.
  • Ensure all scheduling, cancellations, confirmations, and superbill entries are done appropriately.
  • Notify, document, and advise the General Manager of all personnel and patient complaints or issues.
  • Maintain a neat and orderly work area throughout the office.
  • Maintain all office equipment and office supply inventory, following bi-weekly ordering protocols.
  • Oversee the creation of new medical records for each patient, obtaining necessary copies of insurance cards, referrals, and demographic information.
  • Ensure staff correctly enters data into the system.
  • Maintain confidentiality of all patient and employee information.
  • Enforce CLIA, OSHA, and HIPAA regulations.
  • Audit PC checklists and ensure closing duties are performed correctly.
  • Oversee that cash deposits are locked up in the appropriate location.
  • Have thorough knowledge of all procedures performed at offices.
  • Perform other duties as assigned by supervisor on an as-needed basis.

Requirements

  • Previous healthcare experience is required.
  • Dermatology experience is required.
  • 2 - 3 years of experience working in a dermatology/medical environment preferred.
  • Experience using EMR software and patient scheduling systems preferred.
  • Must be computer savvy and familiar with Microsoft Word, Excel, and Outlook.
  • Strong communication, interpersonal, and organizational skills.
  • Excellent patient relation and customer services skills.
  • Must be a professional, reliable, and dedicated employee.
  • Must have strong critical thinking, problem resolution skills, and be a great multitasker.
  • Open availability to work during weekdays and weekends.
