About the Role

Provides high-level operational support during peak festival periods. This role assists with event configurations, conducts pre-on-sale Quality Assurance (QA), and provides system maintenance and real-time troubleshooting within the Archtics and Ticketmaster platforms.

Responsibilities

  • Assist with the setup, configuration, and ongoing maintenance of festival screening schedules, market events, individual film/event builds, creating and managing promotional codes, price codes, and seating manifest adjustments within Archtics and Ticketmaster.
  • Provide, update, and maintain venue seating maps, theater manifests, and ticket allocation charts for internal stakeholders across Programming, Marketing, Industry, Market teams, and Festival Operations.
  • Perform thorough Quality Assurance (QA) audits prior to public, market, and passholder on-sales to verify pricing accuracy, venue capacities, offer codes, map alignments, and delivery parameters before going live.
  • Serve as an operational anchor during screening and market event days, assisting box office staff, Guest Services, and venue teams with access control, scanner tracking, real-time inventory checks, and complex delegate/patron inquiries.
  • Assist in troubleshooting Archtics system glitches, barcode errors, seat duplications, and ticket re-issues under tight, time-sensitive screening deadlines.
  • Extract targeted attendee email lists for marketing campaigns, and generate post-screening attendance reports for key festival stakeholders.
  • Audit patron records and transactional data in Archtics to ensure database integrity, accurate promo code tracking, and smooth post-event financial balancing.
  • Assist the Manager with onboarding and guiding box office representatives and venue ticketing staff on Archtics workflows, while maintaining organized event logs and seating archives to support a smooth post-festival operational wrap-up.
  • Other duties as assigned

Requirements

  • 3–5+ years of experience in ticketing operations, event management, or customer-transactional database management.
  • Proven experience managing ticketing for multiple event types, including year-round programming, third-party/rental events, and high-volume festivals.
  • Experience with Ticketmaster products (e.g., Archtics/Host) is strongly preferred.
  • Experience overseeing or lead-supporting a customer-facing online e-commerce platform.
  • Experience supervising or leading a team, with a focus on training and policy enforcement.
  • Familiarity with CRM systems, reporting tools, and other event management software.
  • Proficient in intermediate-level spreadsheet tools (e.g., pivot tables, VLOOKUPs, data visualization) for inventory and sales reporting.
  • Advanced experience managing ticket inventory, including seat-mapping, manifest builds, and complex online sales structures.
  • Ability to interpret sales and operational reports to inform decision-making and optimize inventory performance.
  • Skilled in understanding, implementing, and enforcing strict policies with internal stakeholders.
  • Strong project management skills with a track record of planning and executing complex, multi-venue events.
  • Ability to manage multiple priorities and projects simultaneously while meeting strict deadlines.
  • Self-starter with excellent problem-solving skills and the ability to work independently in a fast-paced environment.
  • Demonstrates a high level of accuracy, efficiency, and meticulous attention to detail.
  • Excellent verbal and written communication skills, with the ability to liaise effectively with internal teams, external partners, and vendors.
  • Proven ability in de-escalation and conflict resolution, specifically when managing high-stakes expectations from internal stakeholders or VIPs.
  • Ability to foster a positive, innovative, and collaborative work environment.
  • Demonstrates mature judgment, professionalism, and diplomacy under extreme pressure.
  • Flexible work schedule, including frequent evenings and weekends.
  • Schedules may change or extend on short notice based on event needs; candidates must be prepared to stay beyond scheduled end times to ensure operational success.
  • Mandatory availability: Full, uninterrupted availability is required during peak periods, specifically August and September, for Festival operations.
  • Regular in-office presence required.
