About the Role

The Regional Maintenance Manager will be responsible for ensuring a well-maintained and compliant environment for customers and staff across approximately 300 stores in the UK and ROI. This role focuses on providing a customer-centric Facilities Management service, emphasizing reactive maintenance and managing minor works projects for primary assets.

Responsibilities

  • Develop and implement reactive and preventative maintenance programs within budget.
  • Monitor and control expenditures, ensuring value for money on works and quotations.
  • Forecast capital and revenue spend, providing input for budget and cost control reviews.
  • Proactively identify potential risks and costly expenditures.
  • Validate and authorize individual repairs and quotes up to £10,000.
  • Prepare capital expenditure papers for major repairs and projects exceeding £10,000.
  • Identify cost-saving opportunities while maintaining service standards.
  • Interpret leases and understand landlord and tenant repair obligations.
  • Minimize store downtime to maximize revenue and ensure quick resumption of trading.
  • Manage external contractors and partners to ensure stores meet brand standards, executing works efficiently and within cost and quality parameters.
  • Build trust and foster partnerships with internal and external stakeholders.
  • Conduct regular contractor performance reviews and ensure SLA targets are met.
  • Drive strategy and project timelines to ensure projects are completed on schedule and budget.
  • Ensure contractors provide exceptional customer service through quality workmanship.
  • Plan and manage multiple projects of varying scopes concurrently.
  • Continuously monitor and assess contractor performance and service levels.
  • Identify, diagnose, and resolve standard and complex maintenance issues.
  • Ensure contractors comply with New Look's Asbestos, Code of Conduct, and Health and Safety policies.
  • Ensure stores meet the highest property standards and comply with statutory/legal requirements, H&S regulations, brand standards, and operating procedures.
  • Visit stores regularly to identify issues and evaluate needs.
  • Compile Maintenance Audits and condition surveys to provide visibility of issues and long-term risk assessment.
  • Monitor and review completed works for consistent quality and workmanship.
  • Understand lease obligations and their implications on required works.
  • Ensure all maintenance works comply with current Health and Safety legislation, including RAAC, Control of Asbestos at Work, and CDM Regulations.
  • Liaise with Retail and Health & Safety departments to address raised issues.
  • Address ad hoc correspondence as required.
  • Prepare and assist with plans, contracts, budgets, and other necessary documentation.
  • Manage revenue and capital expenditure budgets of approximately £10m for the property portfolio.
  • Handle statutory and landlord repair notices.

Requirements

  • 2-3 years of previous experience in a similar role within a retail environment.
  • Demonstrated understanding of building principles and technical ability.
  • Technical understanding of building fabric, HVAC, electrical, and plumbing systems.
  • Experience managing emergency incidents such as leaks, storms, and electrical failures, and coordinating follow-on works.
  • Working knowledge of MS Office.
  • Experience with New Look's CAFM and Compliance systems: HEAT & VisionPro Software.
  • Experience with New Look’s V-Tag asbestos register.
  • Understanding of BMS systems and electrical related systems for optimum energy usage.
  • Ability to support the Energy Team with store-related issues.
