About the Role
The Event Operations Coordinator supports the operational and logistical planning and execution of live events from pre-production through post-event evaluation. This role assists with vendor management, event technology, budget administration, and project planning to deliver exceptional experiences for attendees, sponsors, and stakeholders.
Responsibilities
- Plan and manage event logistics including venue selection, vendor management, and registration
- Coordinate food and beverage, hotel accommodations, and audio-visual production
- Manage sponsorship fulfillment, floor plans, room layouts, and branded materials
- Oversee event technology including websites, registration platforms, and mobile apps
- Develop and maintain project plans, timelines, and operational checklists
- Track event expenses, process invoices, and manage payments to ensure budget compliance
- Build relationships with internal stakeholders, leadership, sponsors, and vendors
Requirements
- 0-2 years of corporate event management experience
- Ability to lift and move materials weighing 15–30 pounds
- Willingness to work flexible hours including evenings and weekends
- Ability to travel up to 25% domestically and internationally
- Reside within reasonable proximity to a major U.S. airport
