About the Role

The Operations Trainee is responsible for learning all functional areas necessary to operate and manage a given branch, ranging from purchasing and inventory to basic accounting and billing, office administrative duties, and general maintenance.

Responsibilities

  • Assure a system is in place for staff to understand and properly handle customer phone calls.
  • Manage receptionist’s schedule and assure proper back-up personnel is available.
  • Arrange repairs and maintenance for all fax and copier equipment.
  • Maintain proper toner and paper levels for fax and copier equipment.
  • Implement a system for strategically installing fax machines and ensuring timely delivery of faxes.
  • Learn the customer invoicing process and oversee company adherence.
  • Train and manage personnel on daily duties of mailing customer invoices.
  • Learn and enforce the CBSI policy of “Daily Management Review of Invoicing”.
  • Review the invoice register daily and keep it up-to-date.
  • Keep the “Branch Cash Account” clean of any invoices older than three days.
  • Understand the payment process for non-material bills (utilities, general supplies).
  • Maintain an up-to-date file or log of all paid non-material bills.
  • Close out and balance the cash drawer on a daily basis.
  • Ensure the general appearance of the office, store, and bathroom areas are kept neat and clean.
  • Oversee the hiring and training of a cleaning service.
  • Oversee general repairs and maintenance of the office, store, and bathroom areas, including HVAC, plumbing, and electrical.

Requirements

  • Minimum of 3 years of related work experience.
  • Strong Microsoft office skills.
  • Demonstrated ability to work independently and on a team.
  • Ability to lead, execute and/or delegate as needed, while also collaborating with others.
  • Establish and maintain effective working relationships at every level of the organization.
  • Invest in building relationships with the Field Operations and Field Support Center team members.

  • Will occasionally move about inside the office to access files, office machinery, etc.

  • Must be able to problem solve and prioritize tasks.
  • Must be able to manage stress depending on deadlines and ongoing projects.
  • Must be able to multitask.
  • Must be able to receive and analyze information.
  • Must be able to quickly communicate solutions if problems occur.
  • Must be able to demonstrate a high degree of sound judgement.
