About the Role
The Supply Chain Coordinator ensures the acquisition and delivery of quality products and services in a timely, cost-effective, and efficient manner for Austin Regional Clinic and related entities. This role requires subject matter expertise in designated product and service areas, maintaining excellent customer service with internal departments and external suppliers, and respecting patient confidentiality.
Responsibilities
- Communicate with all parties regarding the status of products and services.
- Collaborate with internal customers to understand operations and needs, aligning supply chain support with strategic direction.
- Receive and evaluate requests for products or services, research prospective suppliers, obtain price quotes, and initiate purchase orders.
- Manage and process internal stock requisitions for clinics and departments.
- Ensure order quantities are reasonable and appropriate for inventory levels.
- Verify correct customer selection and order coding in the Supply Chain system.
- Follow up with customers to ensure order accuracy and identify process improvements.
- Communicate inventory backorder issues to customers and internally to reduce delivery time.
- Maintain the perpetual inventory system through order management, timely reorders, cycle counts, and processing customer returns.
- Perform daily cycle counts and annual physical inventory counts.
- Maximize the use of available contracts, including GPO contracts, and evaluate alternatives.
- Collaborate with Senior Supply Chain Coordinators on projects to ensure timely delivery of products and services.
- Prepare and place purchase orders with suppliers, tracking orders to ensure timely receipt.
- Coordinate with suppliers for timely and accurate delivery, expediting and resolving problems as necessary.
- Assist in extracting data, analyzing, and preparing reports related to the Oracle Supply Chain system and supplier systems.
- Review purchase requests for appropriate coding and authorization.
- Manage the returns/credits process with suppliers and coordinate with Accounts Payable.
- Resolve match-hold problems with Accounts Payable, Supply Chain Director, and suppliers, proposing process improvements.
- Identify, research, and resolve back-order discrepancies, expediting orders or sourcing alternatives to avoid shortages.
- Make recommendations for changes and improvements to existing policies and processes.
- Assist in maintaining files pertaining to Supply Chain activities.
- Provide pricing updates to departments for review of drug, vaccine, and billable supplies.
- Maintain pricing matrices to assist in evaluation and facilitate the Supply Chain process.
- Investigate complaints and recommend corrective actions to resolve issues with vendors and outside parties.
- Act as an Oracle supply chain subject matter expert as assigned.
- Assist in updating supplier and inventory item information and facilitating system changes.
- Provide excellent customer service to internal and external individuals.
- Greet suppliers and sales representatives appropriately.
- Participate in field visits as appropriate.
- Interface with organization’s leaders.
- Answer telephones when necessary.
- Perform other duties as assigned.
Requirements
- High School diploma or GED required.
- One (1) or more years of experience in supply chain or a related position.
- Proficient with Microsoft Excel, Access, Outlook, and Word applications.
- Experience working with a computerized perpetual inventory system.
- Working knowledge with GPOs.
