About the Role
This role serves as the primary liaison between the Creative Department and the wider business for all creative and design requests. The Traffic Coordinator will manage Creative Department resourcing, capacity, and coordinate designers and freelance support to ensure timely and budget-conscious project delivery. Key duties include quoting and tracking design costs, reconciling budgets, and reporting on team utilization. The ideal candidate is highly organized, an excellent communicator, adept at managing multiple stakeholders, and remains calm and adaptable in a fast-paced environment.
Responsibilities
- Assess incoming briefs for completeness, create timing plans, and manage resources.
- Manage the studio schedule and book projects with designers.
- Identify and address capacity bottlenecks by rescheduling or engaging freelance resources.
- Liaise with HR for freelancer booking and onboarding.
- Ensure end-to-end project delivery by coordinating the studio team and allocating resources.
- Manage stakeholder expectations and communicate project updates.
- Quote all design work and track time spent against each job.
- Reconcile design costs with budget holders quarterly.
- Report on team utilization and resource capacity, flagging overburn.
- Ensure all work is checked against the brief and copy before client review.
- Assist the wider business in understanding the correct briefing process.
Requirements
- Experience in studio or design traffic management.
- Proficient with Apple Mac/computers, Microsoft Word, PowerPoint, and Excel.
- Experience using project management tools like Monday.com.
- Knowledge of the print/production process.
- Experience working with graphic designers in a design studio.
- Strong understanding of the design and print/production process.
- Experience quoting work, tracking hours, and reconciling costs.
- Highly organized with the ability to facilitate focus, accuracy, and quality in a fast-paced studio environment.
- Strong communicator capable of managing multiple stakeholders, demonstrating integrity, energy, and enthusiasm.
- Ability to motivate, inspire, and collaboratively lead resources.
- Focused and self-motivated with the ability to work effectively to meet deadlines.
- Comfortable managing a heavy workload, multitasking, and juggling numerous projects.
- Ability to remain calm in a busy environment, prioritize, adapt, and multitask effectively.
- Ability to switch planning due to the reactive nature of the business.
