About the Role
This entry-level role is suited for a native German speaker with strong attention to detail, good English skills, and an interest in learning proposal, procurement, and business development processes within a professional services environment. The intern will support experienced proposal managers with routine tasks, document preparation, administrative coordination, formatting, and information management.
Responsibilities
- Support proposal teams in preparing proposal documents, presentations, forms, and submission materials.
- Assist with German-language proposal documents, focusing on accuracy, clarity, formatting, and consistency.
- Follow established proposal processes, checklists, templates, and internal style guidance.
- Support the preparation and formatting of proposal response documents in Microsoft Word, PowerPoint, and PDF.
- Assist with online procurement portals and online submission processes under supervision.
- Help maintain proposal guidebooks, action lists, document trackers, and submission checklists.
- Support the preparation of compliance matrices and competence matrices by transferring client requirements into standard templates.
- Help compile and organize non-technical proposal inputs, such as company information, forms, certificates, references, staff biographies, and standard text.
- Support the collection and formatting of German administrative documents, including insurance, tax, sustainability, equal opportunity, and cyber security documents.
- Assist with simple quality checks, including consistency, completeness, formatting, spelling, grammar, and alignment with internal templates.
- Support the preparation of lists of administrative or clarification questions for review by the proposal manager.
- Help coordinate routine information requests with internal teams, such as legal, IT, operations, and subject matter experts.
- Assist with archiving proposal materials and storing final documents in the correct SharePoint locations.
- Support updates to the proposal team’s content management system, including project summaries, qualifications, standard texts, and final proposal files.
- Help create or update simple graphics, organization charts, tables, and workflow diagrams in PowerPoint, based on existing examples.
Requirements
- Native-level German language skills, with strong writing, reading, grammar, and editing ability.
- Good English language skills, including the ability to read and understand business documents and communicate with international colleagues.
- Strong attention to detail and accuracy.
- Good organizational skills and ability to follow structured processes.
- Ability to work with templates, checklists, and standard operating procedures.
- Comfortable handling routine administrative and document-based tasks.
- Able to manage assigned tasks and deadlines with guidance from the proposal manager.
- Good written and verbal communication skills.
- Willingness to learn proposal management, procurement processes, and professional services business development.
- Comfortable working with remote and international team members.
- Able to ask questions when instructions are unclear and escalate issues in a timely way.
- Reliable, proactive, and careful in handling business documents and deadlines.
- Native German speaker.
- Good English level; ability to work in an English-speaking international team.
- Strong German writing, editing, and formatting skills.
- Any other European language is a plus.
- Good working knowledge of Microsoft Word, PowerPoint, Excel, Outlook, SharePoint, Acrobat (PDF).
- Basic knowledge of AI tools like ChatGPT / Copilot and willingness to learn how to work with AI and tech tools as relevant for the job.
- Interest in proposal development, consulting, procurement, business development, energy, sustainability, or infrastructure.
- Ability to work from the Berlin office as required.
- Previous internship, student job, or administrative work experience in a business environment.
- Experience working with long documents, templates, or formal written submissions.
- Experience with SharePoint, online portals, or document management systems.
- Experience working in an international or bilingual environment.
