About the Role

The Vice President, ECM Operations plays a key role in supporting Madison's Equity Capital Markets (ECM) team by coordinating investor services, fundraising operations, executive communications, marketing initiatives, and strategic business projects. This highly collaborative position serves as a central point of coordination across multiple internal teams and external partners, helping to ensure the efficient execution of investor-facing initiatives and day-to-day business operations.

Responsibilities

  • Coordinate investor onboarding and ongoing servicing activities.
  • Manage investor inquiries and ad hoc requests, ensuring timely and professional responses.
  • Administer the investor portal and CRM system, maintaining accurate investor records and data integrity.
  • Support fund administration activities and investor verification processes.
  • Coordinate fundraising virtual data room (VDR) administration.
  • Identify opportunities to improve operational processes and investor experience.
  • Maintain and manage the fundraising prospect database and pipeline.
  • Prepare fundraising dashboards, reports, and CRM analytics.
  • Coordinate due diligence requests and fundraising materials.
  • Manage coverage assignments and fundraising workflows.
  • Serve as a liaison with placement agents, consultants, and distribution partners.
  • Coordinate the planning and execution of the Annual Investor Meeting, including project management, logistics, registration, vendor coordination, agenda development, and post-event follow-up.
  • Support quarterly investor webinars and virtual events, including speaker coordination, platform administration, invitations, technical rehearsals, and attendee reporting.
  • Assist with LPAC meetings, investor conferences, and other client-facing events.
  • Coordinate marketing collateral and investor communications.
  • Assist with website updates, LinkedIn content, newsletters, and thought leadership initiatives.
  • Coordinate conference announcements, podcasts, and media-related activities.
  • Support external public relations initiatives and collaborate with marketing vendors.
  • Coordinate relationships with third-party service providers supporting investor relations, fundraising, marketing, and technology initiatives.
  • Manage vendor communications, project timelines, and service deliverables.
  • Assist in evaluating and implementing new vendors and technology solutions.
  • Support operational improvement initiatives and workflow enhancements.
  • Coordinate cross-functional projects across the ECM team and other departments.
  • Assist with CRM enhancements, reporting, and data governance initiatives.
  • Support technology implementations and automation projects.
  • Perform additional special projects and administrative support for ECM leadership as needed.

Requirements

  • Bachelor's degree in Business, Finance, Marketing, Communications, Real Estate, or a related field.
  • 8-10 years of experience in private equity, real estate, financial services, investor relations, marketing, project management, or a related professional environment.
  • Exceptional organizational and project management skills with the ability to manage multiple priorities simultaneously.
  • Strong written and verbal communication skills with exceptional attention to detail.
  • Professional presence and the ability to interact confidently with senior executives, investors, and external partners.
  • Strong analytical and problem-solving skills.
  • Experience working with CRM platforms (Salesforce preferred) and Microsoft Office Suite, particularly Excel, PowerPoint, and Outlook.
  • Ability to work independently while collaborating effectively across global teams.
  • A proactive, service-oriented mindset with a willingness to take initiative and continuously improve processes.
  • High degree of professionalism, discretion, and integrity when handling confidential information.
