About the Role
As a Buying Administrator within Womenswear, you will support the Buyers throughout the entire buying cycle, from order placement through to delivery in store. You will ensure the smooth running of department processes, maintain exceptional accuracy and provide vital commercial support to help drive performance.
Responsibilities
- Raise all planned purchase orders and maintain delivery schedules, working closely with Buyers, Suppliers, Merchandising, Warehouse and Stores to ensure timely stock delivery.
- Monitor and chase deliveries, proactively resolving issues and negotiating late delivery terms with suppliers where required.
- Analyze delivery, sales and performance data, producing ad hoc reports to support buying decisions.
- Check supplier confirmations against buyer worksheets and resolve discrepancies efficiently.
- Manage supplier returns, including stock swaps, cancellation of balances and system updates.
- Respond to Warehouse and Store queries, arrange direct-to-store deliveries and provide timely and effective solutions.
- Review quality concerns raised by stores and take appropriate action on faulty or damaged stock.
- Build and maintain strong supplier relationships through regular communication and distribution of weekly sales figures.
- Ensure debit notes, supplier funding and sale-or-return stock are processed accurately and on time.
- Maintain comprehensive departmental filing systems, including supplier files, order logs and cancellation records.
- Update key trading documents such as FPSS, OTB trackers and brand sales files.
- Monitor continuity lines, action replenishment and attend continuity reviews with the Assistant Buyer.
- Support the smooth running of the department through excellent housekeeping and secure handling of confidential information.
- Develop strong product knowledge across the industry through competitive shopping and independent floor walks.
- Action retail price changes accurately.
- Use reporting tools to analyze product performance by category, colour, size and style, providing insights and recommendations to the Buyer.
Requirements
- Organised, accurate and enthusiastic about working in a fast-paced luxury buying environment.
- Exceptional attention to detail and a high level of accuracy.
- Highly numerate.
- Confident with Excel.
- Comfortable working to tight deadlines.
- Ability to manage multiple priorities while maintaining a proactive and positive attitude.
- Strong written and verbal communication skills.
- Enjoy working collaboratively.
- Previous experience in a buying office or keenness to begin a buying career.
