About the Role

McCarthy Tétrault is seeking a Manager, Legal Support Services to lead legal support operations, talent management, stakeholder engagement, and administrative functions in our Toronto office. This role is crucial for maintaining operational excellence and fostering a collaborative work environment within a leading Canadian law firm.

Responsibilities

  • Determine requirements for effective production and processing of legal assistant work, ensuring trained staff meet practice area needs.
  • Propose, implement, and maintain Legal Assistant resources, including hiring, team recommendations, and feedback.
  • Ensure development of direct reports to foster strong co-operative work units through skill assessment and training.
  • Manage absences and vacations to ensure adequate coverage, and record information.
  • Authorize overtime requests.
  • Coach employees to be accountable for their work and aligned with Firm objectives, culture, and values.
  • Manage staff in a hybrid work environment.
  • Educate Legal Assistants and Lawyers on success factors and the McCarthy Engage program.
  • Facilitate review conversations with Lawyers.
  • Consult with HR prior to initiating formal disciplinary procedures to ensure adherence to policy and law.
  • Lead team-building events and mobilize employees for projects and meetings.
  • Organize team meetings with Legal Assistants for brainstorming and engagement.
  • Coordinate follow-up on new hire technical training.
  • Provide leadership and expertise for Human Resources and Legal Support Services functions.
  • Lead the performance management process, including setting objectives and providing feedback.
  • Collect feedback from clients (Lawyers).
  • Recommend annual salary increases for direct reports.
  • Coach for performance and professional development to meet Firm standards.
  • Act as primary liaison between Lawyers, Legal Assistants, Supervisors, and Management.
  • Manage concerns within Lawyer/Legal Assistant teams.
  • Influence and encourage support for the Legal Support Service model firm-wide.
  • Identify problems, seek innovative solutions, and communicate with stakeholders.
  • Collaborate with functional groups and regional Managers to support operational needs and improve efficiencies.
  • Maintain records and compile statistical reports concerning personnel or services data.
  • Analyze data to identify themes and trends, and develop recommendations for change.
  • Prepare annual financial and headcount budgets with the Director, Legal Support Services, and monitor/report monthly.

Requirements

  • Minimum 10 years of experience.
  • At least 3 years managing a large team, ideally in a professional services environment.
  • Highly developed problem-solving, conflict management, and negotiation skills.
  • Ability to successfully resolve performance and disciplinary issues.
  • Ability to develop and deliver creative solutions.
  • Excellent analytical and critical thinking skills.
  • Demonstrated proficiency in numeracy skills.
  • Strong written and oral communication skills.
  • Able to communicate effectively with individuals at all levels of the Firm while maintaining composure.
  • Intermediate skill level with Office Suite.
  • Demonstrated experience in change management.
  • Keen interest in continuous process improvement.
  • Proven organizational skills and ability to prioritize work in a fast-paced environment on a national platform.
  • Ability to develop strong trusting relationships to gain support and achieve results.
