About the Role
This position provides coordination and support for all day-to-day activities for the School of Theatre front office, including administrative support, class scheduling, supervision and scheduling of student staff, coordination of events, and room scheduling. The role also oversees all individual, group, and subscription sales for events in college-controlled venues and requires some nights, weekends, and flexible work hours.
Responsibilities
- Coordinates front desk activities and ensures coverage during work hours.
- Enters and updates course offerings and monitors enrollment in Workday.
- Updates School directory listings and website.
- Maintains School files.
- Oversees scheduling and reservation of School facilities and equipment.
- Assists committee chairs and coordinators by gathering information and applications.
- Attends meetings and transcribes minutes.
- Provides initial contact for faculty, students, alumni, and the public via phone and email.
- Answers routine questions about the School, College, and University.
- Directs specific requests and problems to appropriate administrative staff.
- Maintains a monthly calendar of events for the School and Director.
- Oversees distribution of incoming mail.
- Prepares correspondence, reports, and forms for faculty and administrative staff.
- Assists in the selection, training, and daily activities coordination of student workers.
- Oversees individual, group, and subscription sales for events in college-controlled venues.
- Prepares daily deposits and pulls daily box office reports.
- Oversees box office student staff.
- Communicates with box office software vendors.
- Serves as a point of contact for School’s guest artists and scholars, arranging travel and completing necessary University forms.
- Oversees maintenance of guest artist lodging and conducts other artist/guest hospitality needs.
- Serves as alternate building coordinator and liaison between the Office of Facility Services and the department.
- Acts as a liaison between the Office of Risk Management, submits travel insurance requests, and collects driver authorization forms.
- Reserves parking and hotel accommodations for School guests.
- Coordinates and plans receptions, symposia, professional meetings, and other events hosted by the School.
- Completes School's inventory reports and assists in verifying item existence and location.
- Assists Office of Property Management personnel in locating and tagging new items.
- Maintains necessary office supplies and assists in placing orders for the School.
- Performs other duties as assigned.
Requirements
- Bachelor's Degree or equivalent relevant experience.
- One year of related professional experience.
- Two years professional experience with clerical work as a major duty (preferred).
- Access to/direct handling of cash requires a financial history/credit check.
- Must have valid U.S. work authorization at the time of hire and maintain it throughout employment.
