About the Role

LYRIC is seeking an organized and detail-oriented HR Coordinator to support the daily administration of human resources systems and processes. This role functions as an HR generalist with a primary focus on benefits administration, employee records, HR data, onboarding, and offboarding, ensuring employee information and transactions are accurate, confidential, and processed on time. It's an opportunity for an HR professional who enjoys building dependable systems and supporting an equitable, mission-driven workplace.

Responsibilities

  • Support employee enrollment in medical, dental, vision, acupuncture/chiropractic, retirement, and other benefit programs.
  • Process new enrollments, qualifying life events, eligibility changes, open enrollment elections, benefits terminations, and retirement-plan documents.
  • Maintain accurate benefits information in HR systems and carrier portals.
  • Respond to routine employee questions about benefits, eligibility, enrollment, and required documentation.
  • Track enrollment deadlines and follow up with employees for missing information.
  • Prepare benefits information and materials for new-hire orientation and open enrollment.
  • Coordinate with benefit providers, brokers, payroll staff, and internal leadership to address enrollment or billing issues.
  • Maintain confidentiality when handling employee health, benefits, and personal information.
  • Review benefits invoices for accuracy and compare charges against current enrollment records.
  • Track invoices, payment deadlines, credits, adjustments, and discrepancies.
  • Prepare benefits invoices and supporting documentation for approval and payment.
  • Coordinate timely payments with Finance and other responsible staff.
  • Maintain organized records of benefits invoices, approvals, payments, and account changes.
  • Follow up with benefit providers to resolve billing discrepancies.
  • Assist with reconciling benefits deductions and employer contributions against payroll records.
  • Immediately communicate unresolved discrepancies or potential missed payments to the appropriate supervisor.
  • Maintain accurate and current employee information in BambooHR and other HR systems.
  • Enter new-hire information and update employee records following changes in position, compensation, benefits, supervision, or employment status.
  • Maintain confidential electronic and personnel files according to organizational policies and legal requirements.
  • Track required forms, certifications, acknowledgments, training records, and other employee documentation.
  • Maintain organizational charts, staff lists, job descriptions, salary records, and related HR materials.
  • Conduct regular reviews of HR records to identify missing, outdated, or inconsistent information.
  • Prepare routine HR reports and maintain accurate tracking spreadsheets.
  • Prepare and distribute new-hire documents and onboarding materials.
  • Coordinate background checks, required forms, system access requests, and orientation schedules.
  • Support new employees in completing required HR and benefits paperwork.
  • Update BambooHR and other internal systems with new-hire information.
  • Coordinate with supervisors, Operations, IT, Finance, and other departments to support a smooth onboarding process.
  • Prepare separation documents and coordinate benefits termination, final records, and system updates.
  • Maintain onboarding and offboarding checklists and confirm that each required step is completed.
  • Post approved job openings and maintain recruitment files.
  • Organize applications and support interview scheduling.
  • Communicate approved logistical information to candidates.
  • Coordinate reference checks and background-check documentation.
  • Prepare approved offer letters and other hiring documents for review.
  • Track the status of open positions and required hiring steps.
  • Ensure recruitment records are accurate, complete, and stored appropriately.
  • Prepare and verify employee information needed for payroll.
  • Review benefits deductions, employment-status changes, compensation updates, and other payroll-related data for accuracy.
  • Help identify and resolve discrepancies involving employee records, benefits, or payroll information.
  • Maintain documentation supporting approved compensation and employment changes.
  • Support the consistent administration of established HR policies and procedures.
  • Help track required employee trainings, performance reviews, policy acknowledgments, and compliance deadlines.
  • Maintain organized records for audits, benefits reviews, reporting, and other compliance needs.
  • Prepare routine reports, summaries, and data requested by People Operations leadership.
  • Assist with employee surveys, benefits surveys, compensation research, and staff-recognition activities.
  • Help coordinate organization-wide trainings and HR-related meetings.
  • Identify missing information, process gaps, or approaching deadlines and communicate them promptly.
  • Support special projects and other People Operations responsibilities as assigned.
  • Perform other related duties as assigned.

Requirements

  • At least two years of experience in human resources, benefits administration, payroll support, office administration, or a related field.
  • Experience supporting employee benefits enrollment, billing, payments, or reconciliation.
  • Experience using an HR information system such as BambooHR.
  • Strong attention to detail and experience maintaining accurate records.
  • Ability to organize invoices, payments, forms, deadlines, and supporting documentation.
  • Experience supporting employee onboarding, offboarding, or recruitment processes.
  • Ability to handle confidential employee and organizational information with discretion.
  • Strong written and verbal communication skills.
  • Ability to respond to employee questions professionally and promptly.
  • Strong organizational and time-management skills.
  • Ability to manage recurring responsibilities and multiple deadlines.
  • Proficiency with Google Workspace and Microsoft Office, particularly spreadsheets and shared documents.
  • Ability to follow established procedures and ask for clarification when expectations are unclear.
  • Ability to identify errors, missing information, and process concerns and communicate them promptly.
  • Ability to work independently while maintaining regular communication with a supervisor.
