About the Role
PRA is seeking a Senior Event Producer to manage the logistical and operational execution of client events, including complex programs for high-profile accounts. This role serves as the primary client contact post-sale, ensuring client satisfaction and account retention by exceeding expectations.
Responsibilities
- Manage logistical and operational execution of client events and programs, including complex programs for high-profile accounts with budgets from $500K-$1M+.
- Serve as the primary client contact during pre-planning and program operation, ensuring client expectations are exceeded.
- Meet with the Sales team to review program details and act as the primary client contact post-contract.
- Manage program changes during pre-planning and on-site, including negotiation and up-selling.
- Manage the expected gross margin for contracted events.
- Order, confirm, and re-confirm all suppliers, developing relationships, negotiating terms, and contracting services.
- Ensure timely deposit receipt and completion of billing as contracted.
- Determine Field Staff work assignments based on program schedule and staffing needs.
- Prepare and distribute trip sheets and relevant program information to Field Staff.
- Participate in recruiting and training Field Staff.
- Coordinate and process all Field Staff paperwork, including timesheets and expense reports.
- Maintain inventory of field staff uniforms and materials, coordinating purchases as needed.
- Complete all program production paperwork, including trip sheets, check requests, service agreements, invoicing, and job costing.
- Assist Experience Designers with program development according to client specifications.
- Manage cost preparation, program summaries, deposit invoices, service agreements, and related correspondence.
- Forward necessary program information to hotel and venue representatives for seamless coordination.
- Conduct pre-con meetings with clients and hotels to review confirmed program details.
- Keep Regional and Global Sales Managers informed of opportunities and program changes, taking corrective action as needed.
- Model teamwork and collaboration, setting a standard for professionalism and operational excellence.
- Develop and implement new processes or improvements to enhance program operations.
- Facilitate training and professional development initiatives for Event Producers in collaboration with leadership.
- Lead department meetings and assign programs in the absence of leadership.
Requirements
- Bachelor's degree or equivalent relevant experience.
- 4 years of experience overseeing the execution of corporate meetings, client events, and complex programs.
- Proven ability to lead operations functions and effectively supervise, develop, and mentor Field Staff.
- Excellent interpersonal and communication skills with diverse groups.
- Demonstrated success in analyzing and interpreting client requirements, contracts, financial reports, and legal documents to mitigate risk and ensure profitability.
- Skilled at presenting information and responding to client, supplier, and hotelier questions.
- Ability to multitask and work on multiple programs with different deadlines.
- Ability to work well with all levels of management and staff, hoteliers, venue staff, clients, and supplier partners.
- Deep market knowledge of local attractions, hotels, parks, venues, and supplier partners.
- Ability to locate and vet new venues and supplier partners.
- Must be able to work flexible hours including weekends, evenings, and holidays.
