About the Role

The Executive Assistant to the Chief Executive Officer (CEO) provides high-impact executive, governance, and operational support, acting as a trusted partner to ensure seamless information flow and effective coordination of priorities at the senior levels of the organization. This role serves as a key connector, bringing structure, foresight, and professionalism to a dynamic environment, embodying professionalism, integrity, and responsiveness to enable leaders to focus on delivering exceptional care and advancing strategic priorities.

Responsibilities

  • Act as a strategic partner to the CEO, anticipating priorities, managing competing demands, and ensuring seamless daily operations
  • Serve as a primary point of contact and brand ambassador for internal and external stakeholders
  • Coordinate all CEO scheduling, meetings, and logistics, ensuring materials and briefings are prepared in advance
  • Proactively monitor and prioritize incoming information, identifying risks, issues, and opportunities
  • Draft, review, and manage a range of communications including correspondence, briefing notes, reports, and presentations
  • Support research, data analysis, and reporting for key initiatives and projects
  • Coordinate business travel and related logistics
  • Provide comprehensive administrative and coordination support to the Board Liaison
  • Coordinate board and committee work plans, agendas, materials, and meeting logistics
  • Liaise with administrative counterparts across related boards and committees
  • Provide executive-level support to Chiefs and Vice Presidents as required
  • Coordinate senior leadership meetings, retreats, and strategic initiatives
  • Support cross-functional projects and organizational priorities
  • Lead the effective and efficient administration of the Corporate Office
  • Maintain and continuously improve administrative policies, processes, and systems
  • Manage corporate records, filing systems, and documentation with a high degree of accuracy and confidentiality
  • Prepare payroll submissions and corporate expense reports
  • Manage office inventory and administrative resources
  • Identify and implement leading practices, tools, and technologies to enhance administrative effectiveness
  • Coordinate and provide guidance to administrative professionals, students, and volunteers as required

Requirements

  • Minimum 7 years of experience supporting C-level executives and Boards of Directors
  • Proven ability to anticipate priorities, exercise sound judgment, and operate with a high degree of independence and professionalism
  • Exceptional organizational and time management skills with the ability to manage competing priorities under pressure
  • Strong interpersonal, verbal, and written communication skills, with the ability to engage effectively at all levels
  • Demonstrated discretion and ability to manage sensitive and confidential information
  • Highly adaptable, proactive, and solutions-oriented, with a continuous improvement mindset
  • Satisfactory Police Check (including vulnerable sector screening)
  • Valid driver’s license and access to a vehicle
  • Successful applicants must provide a recent satisfactory vulnerable sector police reference check and medical clearance certificate.

Skills

  • Advanced proficiency in Microsoft Office (Word, PowerPoint, Excel)
  • Strong proficiency with cloud-based tools (e.g., SharePoint, SurveyMonkey, Adobe Acrobat, social media platforms)

  • Bachelor’s degree or equivalent
  • Formal administrative training considered an asset

Salary/Compensations
