About the Role
This role supports the finance, compliance, and operations functions of an investment advisory firm. It is ideal for a highly organized, technologically comfortable individual interested in improving administrative and accounting processes, including accounts payable, accounts receivable, financial documentation, and digitization efforts.
Responsibilities
- Process invoices and employee expense reports; match, batch, code, and enter accounts payable data into the accounting system.
- Maintain vendor files, reconcile vendor statements, and research or resolve discrepancies.
- Provide support during quarterly client billing cycles and record customer payments received by check or electronic transfer.
- Digitize, scan, index, and organize historical paper files.
- Assist with implementing and improving accounts payable and document-management procedures.
- Support reconciliations, process updates, and other ad hoc accounting or administrative projects.
- Communicate professionally and promptly with vendors and internal team members.
- Provide administrative and operational support across accounting, compliance, and operations while carefully handling confidential information.
- Maintain organized files, track requests, follow up on outstanding items, and help ensure timely completion of routine tasks.
- Provide backup front-office support, including phone coverage, scheduling, correspondence, visitor coordination, and special projects.
Requirements
- 3-5 years of experience providing general accounting or bookkeeping support.
- Working knowledge of basic accounting principles and accounts payable/accounts receivable processes.
- Familiarity with QuickBooks preferred.
- Strong organizational skills, exceptional attention to detail, and the ability to manage both paper records and digital workflows.
- Experience scanning, indexing, and organizing documents preferred.
- Ability to handle confidential information with discretion.
- Self-motivated, dependable, collaborative, and comfortable taking ownership of details.
Skills
- Financial services, investment management, or a registered investment adviser environment experience.
- Proficiency with Microsoft Office, QuickBooks, CRM platforms, and SharePoint.
- Comfort learning new systems and contributing to process-improvement initiatives.
