About the Role
The Assistant to the VPs supports VPs in the day-to-day activities of the office and assists with the preparation of committee/council meetings for the Board of Directors. This role requires experience in a busy office environment and proficiency in verbal and written communication.
Responsibilities
- Assist the VPs in the essential functions of their positions
- Post agendas, take minutes, update motion logs, and maintain files of all AS committees, councils, and assemblies
- Prepare the agendas, recorder, and/or Zoom video calls for upcoming meetings
- Maintain attendance records of committee/council members with the Chief of Staff
- Sustain the upkeep and organization of the Governance Drive
- Receive in-person and phone inquiries from students, staff, and university officials regarding AS and its programs & services and make appropriate referrals
- Perform other duties and projects assigned by the Head Assistant to the VPs, Governance Specialist Assistant, and AED of Governance to further help the efforts and duties of the VPs and the Board of Directors
- Keep up to date on AS programs and services as well as current projects to be able to receive in-person and phone inquiries from students, staff, and university officials and make appropriate referrals
Requirements
- Must be currently enrolled at SFSU with a minimum of 6 units for undergraduates or 4 units for graduates
- Ability to organize, prioritize, and complete multiple assignments in a busy work environment with frequent deadlines
- Proficient in effective communication both verbally and in writing
- PC, Mac, and Google Drive literate
- Experienced in taking minutes for meetings is a plus
- Knowledge/familiarity of SF University campus is a plus
