About the Role
The Board Administrator provides ongoing support for the Cooperative's governance through various administrative activities, requiring a high level of confidentiality regarding GreenStar's business and activities.
Responsibilities
- Take and prepare Council and committee minutes
- Maintain strict confidentiality for Council materials and decisions
- Prepare and distribute Council and committee agendas and materials
- Maintain Council's electronic records and paper files
- Maintain and update the Council Policy Book
- Ensure appropriate access to Council Documents
- Provide administrative support to Council and committees
- Prepare and clean up from Council meetings and events
- Update and maintain the Council roster
- Assist with development of and maintain Council work plan
- Assist with development of Proposals
- Maintain Council and committee calendar; support scheduling of meetings and events
- Onboard and train new Council and committee members
- Attend Council and committee meetings
- Support administration of Council elections
- Act as a subject matter expert for Council policies and procedures
- Facilitate Council members receipt of stipends
- Support planning and Coordinate logistics for Council meetings, retreats, and conferences
- Identify needs for and conduct and coordinate training for Council Members
- Coordinate with Council to complete needed documents for GreenStar’s licenses and certifications
- Train and coordinate with staff liaisons to Council and Committees
- Coordinate and assist with member-owner events
- Support maintenance of accurate records
- Support creation of communications material
- Communicate with member-owners and the public
- Perform other tasks assigned by supervisor
- Respect and comply with storewide personnel policies
- Attend departmental meetings and required trainings
- Follow GreenStar safety rules
- Assist other employees in safety needs
- Report unsafe equipment and conditions
- Participate in safety training programs
- Assist with accident investigation
- Perform other tasks as assigned to ensure a safe and healthy work environment
Requirements
- Organized with strong attention to detail
- Ability to interact with managers, board members, staff, the general public, co-op members, community leaders, and staff in a positive and professional manner
- Good writing, editing, and communication skills
- Ability to maintain confidentiality
- Ability to work with minimal supervision, communicate effectively, and meet deadlines
- Ability to work with a flexible schedule to meet the needs of the business
- Ability to do repetitive motions, heavy typing and data entry, sit at a computer for long periods of time, stand for long periods of time, lift up to 30 lbs, visually read fine print, visually read a computer screen for long periods of time
Skills
- Meeting minutes experience preferred
- Proficiency in Microsoft Word and Google Suite
- Website content uploading or maintenance experience preferred
- Office tasks (copying, filing, etc.)
- Type 50+ words per minute accurately
- Excellent meeting transcription skills
