About the Role
We are seeking an exceptional Lifestyle Concierge to manage the personal logistics, travel, calendar, inbox, household coordination, and daily operations for a busy entrepreneur and their family. This high-trust, in-person role focuses on removing administrative burdens and logistical complexities, allowing the principal to concentrate on business, family, and high-value work. The core mission is to create order and efficiency in a fast-paced personal and family life.
Responsibilities
- Manage daily logistics and priorities, removing unnecessary decisions from the principal’s day.
- Handle errands, bookings, reservations, purchases, and returns.
- Coordinate appointments, suppliers, deliveries, and services.
- Proactively solve practical issues before they become problems.
- Create systems, checklists, and routines to streamline daily life.
- Conduct daily check-ins with the principal to review priorities and decisions.
- Manage and protect the principal's calendar, scheduling meetings and appointments.
- Filter emails, escalating only critical items and drafting replies.
- Manage selected communication channels and reduce unnecessary communication.
- Ensure follow-up on all matters to prevent anything from being overlooked.
- Book flights, hotels, transportation, and restaurants for travel.
- Create detailed itineraries and travel plans.
- Coordinate luggage, packing lists, and practical travel preparations.
- Travel ahead or alongside the principal to ensure seamless arrangements.
- Verify hotel arrangements, rooms, transport, food, and local logistics upon arrival.
- Coordinate with household staff and external providers.
- Oversee home readiness, repairs, maintenance, and deliveries.
- Manage practical matters such as laundry, dry cleaning, and car-related tasks.
- Ensure groceries and essential household items are stocked.
- Coordinate food, meals, restaurant bookings, and deliveries.
- Assist with food preparation and meal-related needs when necessary.
- Support family logistics as required.
- Learn and cater to the principal’s food, health, training, and travel preferences.
- Understand dietary requirements and book restaurants accordingly.
- Coordinate with household staff for food preparation.
- Manage health-related appointments (doctors, dentists, physio).
- Assist in maintaining routines during travel.
- Handle Portuguese bureaucracy, appointments, and local administration.
- Liaise with local suppliers, service providers, and authorities.
- Book and manage local services and appointments.
- Assist with forms, car-related administration, schools, and other local logistics.
- Translate or clarify Portuguese communications as needed.
Requirements
- Fluent Portuguese and strong English language skills.
- Based near Lisbon, Cascais, or Oeiras.
- Legally able to work in Portugal.
- Ability to work in person and travel regularly.
- Strong organizational and detail-oriented skills.
- Excellent discretion and confidentiality.
- Comfortable with both executive-level tasks and practical lifestyle support.
- Strong problem-solving abilities.
- Ability to anticipate needs and act proactively.
- Service-minded, discreet, and trustworthy.
- Calm under pressure and professional demeanor.
- Comfortable in a family environment and around children.
- Ability to respectfully push back to protect time and priorities.
- Flexible with travel and changing schedules.
- Valid driving license preferred.
- Experience as a private PA, Executive Assistant, Lifestyle Manager, Family Office Assistant, or in Luxury Hospitality/Concierge roles is preferred.
- Experience supporting entrepreneurs, founders, executives, or high-net-worth families is preferred.
- Experience with travel planning and household coordination is preferred.
- Experience managing inboxes, calendars, and suppliers is preferred.
- Strong local knowledge of Portugal is preferred.
- Willingness to sign a confidentiality agreement.
