About the Role
The Patient Services Coordinator is responsible for all administrative functions related to front desk coordination, insurance coordination, and medical records. This role emphasizes service excellence to ensure quality patient care meets the needs of patients, providers, and the organization.
Responsibilities
- Greets patients and collects registration/visitation information.
- Performs patient check-in, including collecting and verifying demographic and insurance information.
- Manages patient flow and maintains the cleanliness of the waiting area.
- Maintains the patient schedule, including follow-up scheduling and appointment confirmation/cancellation.
- Answers and manages all incoming telephone calls.
- Checks administrative messages (voicemails, emails) and completes assigned system tasks.
- Serves as back-up for the clinical team to expedite patient visits.
- Performs patient check-out procedures, including scheduling follow-up appointments, collecting co-pays, and recording payments.
- Obtains and verifies patient demographics and insurance information for accurate claim payments.
- Contacts insurance carriers for eligibility and benefits details, documenting requirements.
- Obtains insurance authorizations and provider referrals, ensuring proper documentation.
- Obtains Workers Compensation authorizations and approvals.
- Completes electronic insurance verifications and notifies patients of eligibility status.
- Monitors appointment add-ons to complete insurance verifications.
- Manages prescription requests, including obtaining refill information, preparing forms, and contacting patients.
- Prepares charts in advance of appointments, tracking referrals and authorizations.
- Prints patient forms and schedules for upcoming appointments.
- Transmits report/record requests to referring physician offices and other parties.
- Prints and copies necessary paperwork from patient charts according to medical record requests, adhering to HIPAA and NSPC procedures.
- Retrieves, files, and maintains patient charts in accordance with HIPAA and NSPC procedures.
- Maintains the cleanliness and organization of filing and patient chart storage areas.
- Assists with training and monitoring administrative staff on customer service.
- Assists with creating and managing employee task assignments.
- Assists with assessing, communicating, and improving administrative workflows, processes, and policies.
- Ensures work spaces are organized, clean, and professional.
- Understands, complies with, and enforces all NSPC policies, procedures, codes of conduct, and OSHA and HIPAA privacy rules.
- Adheres to and upholds all applicable federal and state compliance regulations, NSPC's Code of Conduct, Employee Handbook, compliance policies and procedures, and healthcare fraud, waste, and abuse laws.
- Performs other duties as assigned.
Requirements
- High school diploma or GED equivalent.
- At least one year of related administrative experience and/or training, preferably in a healthcare environment.
- Ability to maintain complete confidentiality of information at all times.
- Ability to understand and demonstrate outstanding customer service skills while maintaining the highest level of patient care at all times.
- Aptitude to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.
- Ability to learn and use new software technologies for electronic patient medical records and practice management scheduling systems.
