Responsibilities

  • Manage calendars for multiple managers and associated teams, including scheduling meetings and resolving conflicts.
  • Coordinate and prioritize internal and external meetings.
  • Provide back-up coverage to other assistants and aid with manager’s calendars and daily projects within a team environment.
  • Handle day-to-day administrative tasks such as time entry, mailings, and expense reports.
  • Coordinate conference rooms, video/conference details, IT support, security badges, and all meeting logistics.
  • Develop and maintain strong connections with teams, client counterparts, and vendors.
  • Coordinate travel arrangements, including all logistics and Travel & Expense Reports.
  • Edit, format, and prepare presentations for meetings in coordination with Executives and admins, ensuring proper distribution and maintaining confidentiality.
  • Print and bind presentations for attendees.
  • Facilitate secure and seamless information flow by ensuring all details for activities relating to sensitive data.
  • Maintain filing systems.
  • Organize team-building events and employee engagement opportunities.
  • Field inquiries to appropriate team members, respond to employee inquiries, and ensure timely responses to urgent issues.
  • Perform ad hoc errands and requests.
  • Support Executive support and project management of internal and client projects, including special projects and ad-hoc assignments.

Requirements

  • 3-5+ years of administrative experience providing exceptional support to multiple individuals, including direct support to C-level executives.
  • Excellent judgment and the ability to balance resourcefulness and discretion.
  • Demonstrates ability to protect confidential and proprietary information.
  • Exceptional organization and time management skills with great attention to detail.
  • Positive and collaborative attitude, with an assertive but flexible personality.
  • Highly reliable, responsible, and responsive.
  • Ability to interact with senior leaders at all levels in a fast-paced environment.
  • Ability to remain flexible, proactive, resourceful, and efficient.
  • Ability to effectively manage/coordinate simultaneous projects.
  • Ability to successfully prioritize and multi-task with sound judgment.
  • Understands urgency.
  • Demonstrates emotional intelligence and strong communication skills.
  • Experience using PC.
  • Proficiency in the Microsoft Office Suite including Word, Excel, PowerPoint, Outlook and Visio.
  • Must be 18 years of age or older.
  • Must have unrestricted work authorization to work in the United States.
  • Must be willing to execute Corient’s Employee Agreement or Confidentiality and Non-Disclosure Agreement.
