About the Role
The Contractor Relations Associate will support the Contractor Relations Department and serve as the primary point of contact for contract partners.
Responsibilities
- Monitor existing vendor database to ensure adequate resources to meet current staffing needs.
- Recruit potential contractor partners via various methods, including search engines, job boards, and direct communication.
- Prequalify potential contractor partners through verbal discussions regarding W Services Questionnaire, scopes of work, and industry knowledge.
- Review and negotiate contract terms, specifications, payout details, and requirements with Contractor Partners.
- Review invoice requirements and specific billing requirements with contractors based on W Services internal protocols.
- Update the vendor prospect section in Waves (W Services Proprietary Software) for every potential contractor contacted.
- Manage and update assigned RTS and campaigns daily.
- Update Waves with contractor, payout, or schedule changes and submit change forms to the assigned W Services Service Representative.
- Maintain updated vendor notes in Waves with details on important conversations, location changes, and vendor challenges.
- Collaborate with internal W Services Market Teams/CEDs to address market opportunities, assist in obtaining service dates, discuss performance issues, and manage escalation items.
- Resolve invoice discrepancies with contractor partners to ensure timely and correct payment.
- Assist the W Services Accounting Team in obtaining sign-offs and invoices from contractors who are late submitting required paperwork.
- Review daily Unassigned and Open Campaign reports, along with the Margin % report, to prioritize focus areas.
- Participate in meetings, including the daily contractor relations call.
- Handle special projects as assigned by management.
Requirements
- Experience with MS Word, Excel & Outlook.
- Ability to work independently and be detail-oriented.

- Ability to work under a demanding and busy work environment.
- Consistent email management is required.
- Comfortable with heavy phone communication, including various verbal discussions and negotiations.
