About the Role

Greets visitors and employees, operates the telephone system, and secures the lobby by verifying visitor purposes and providing access.

Responsibilities

  • Retrieves voicemail messages and forwards them to appropriate personnel.
  • Answers incoming telephone calls, determines caller purpose, and forwards calls to appropriate personnel or department.
  • Takes and delivers messages, and transfers calls to voicemail when appropriate personnel are unavailable.
  • Greets on-site visitors, secures the lobby, verifies visitor purpose, and announces visitors to appropriate personnel.
  • Answers questions about the organization and provides information.
  • Updates room schedules and calendars using Xibo Digital Signage Board.
  • Receives deliveries, sorts mail, and distributes to departments as needed.
  • Performs clerical duties such as photocopying, processing mailing, or other special projects.
  • Forwards night phone messages and faxes to the appropriate person.
  • Opens and closes the switchboard reception desk each morning and evening.
  • Complies with all agency policies and procedures.
  • Performs other duties as assigned.

Requirements

  • Ability to sit for extended periods of time.
