About the Role
Greets visitors and employees, operates the telephone system, and secures the lobby by verifying visitor purposes and providing access.
Responsibilities
- Retrieves voicemail messages and forwards them to appropriate personnel.
- Answers incoming telephone calls, determines caller purpose, and forwards calls to appropriate personnel or department.
- Takes and delivers messages, and transfers calls to voicemail when appropriate personnel are unavailable.
- Greets on-site visitors, secures the lobby, verifies visitor purpose, and announces visitors to appropriate personnel.
- Answers questions about the organization and provides information.
- Updates room schedules and calendars using Xibo Digital Signage Board.
- Receives deliveries, sorts mail, and distributes to departments as needed.
- Performs clerical duties such as photocopying, processing mailing, or other special projects.
- Forwards night phone messages and faxes to the appropriate person.
- Opens and closes the switchboard reception desk each morning and evening.
- Complies with all agency policies and procedures.
- Performs other duties as assigned.
