About the Role

Sage Hospitality Group is seeking a Group Housing Coordinator for the Hotel Van Zandt in Austin, Texas. This role supports Sage's Vision by ensuring a culture that makes the ordinary extraordinary, impacting associates, guests, owners, and communities through genuine service and unforgettable experiences.

Responsibilities

  • Handle assigned property's reservation calls, faxes, and emails to provide optimal customer service.
  • Maintain accuracy of group blocks, including cutoff dates, room pickup, room types, suite blocks, and rates.
  • Ensure accurate billing setup for prompt processing and identify, block, and process staff, VIP, and comp room reservations.
  • Ensure appropriate inventory and information is available for individual call-in groups via all designated booking channels.
  • Set up and maintain master files for each group with pertinent information, including approved changes and documented conversations.
  • Monitor group pickup, cut-off dates, rates, and room type availability to maximize hotel revenues and client/guest satisfaction.
  • Audit assigned group blocks, room rates, and concessions against PMS per contract once the group has turned definite.
  • Ensure blocks entered are consistent with the group pattern and room type blocks flow for the duration of the block, updating as necessary.
  • Seek approval for additional rooms beyond the contracted block as needed.
  • Facilitate rooming list entry and ensure all appropriate information is available for individual call-in groups.
  • Coordinate all group activity and information, including processing reservations, rooming lists, advance deposits, and group resumes.
  • Review rooming lists for accuracy of information, format, and billing requirements.
  • Block special request reservations and suites, facilitating special requests using available systems and direct property communication.
  • Monitor housing bureau pickup as required and make adjustments accordingly.
  • Communicate with the management team as necessary.
  • Facilitate consumption of complimentary rooms or other contractual room requirements and communicate with all appropriate departments.
  • Serve as a liaison with the accounting department to ensure all billing requests are configured and executed.
  • Prepare all necessary reports for the Group Pick Up meeting and discuss pickup and trending of groups.
  • Communicate effectively and in a timely manner to internal Revenue Management and CS teams any information that could impact group performance.
  • Attend all pre-con meetings.
  • Speak directly with clients.
  • Meet deadlines.
  • Update to Delphi to FDC.
  • Perform all other duties as assigned, requested, or deemed necessary by management.

Requirements

  • 4-year college degree or equivalent hospitality experience.
  • Previous sales, hospitality, and/or analysis experience preferred.
  • Ability to type 60 WPM.
  • Proficiency in Microsoft Word applications: Word, Excel, Publisher, and PowerPoint.
  • Strong alphabetizing, grammar, and punctuation skills.
  • Knowledge of standard business letter formats.
  • Strong editing skills.
  • Excellent attention to detail and multi-tasking skills.
  • Ability to respond to telephone inquiries and handle clients and associates.
  • Ability to use a computer, file, and check diary.
  • Excellent speech communication skills necessary to communicate clearly with customers and other departments.
  • Excellent comprehension and literacy required to read contracts, manager's letters, and help prepare contracts and proposals.
