About the Role
As a Media Cost Administrator on the Finance team, you will manage the financial operations supporting media investments, ensuring accurate and transparent media billing. Your work will build confidence across the agency by maintaining financial integrity and enabling intentional decision-making for long-term success.
Responsibilities
- Administer and reconcile media costs and vendor invoices across Search, Social, Programmatic, Paid Search, and other paid media channels.
- Process monthly media billing accurately and efficiently using NetSuite and internal planning and purchasing systems.
- Review vendor invoices to ensure alignment with approved media plans, purchase orders, and campaign execution.
- Investigate and resolve billing discrepancies by partnering with internal teams and external vendors.
- Maintain accurate billing records and ensure all financial documentation is complete and audit-ready.
- Track outstanding invoices and proactively follow up with vendors to ensure timely receipt and payment.
- Maintain Excel-based billing trackers, reconciliation reports, and supporting financial records.
- Support month-end close activities, invoice processing, document management, and record retention.
- Assist with EDI invoicing processes and ensure billing data is complete and accurate.
- Partner closely with Media, Client Services, Operations, Finance, and vendor partners to ensure accurate billing and reconciliation.
- Support agency billing initiatives and cross-functional process improvements.
- Identify opportunities to improve workflows, strengthen financial controls, and increase operational efficiency.
- Contribute ideas that simplify financial processes while maintaining accuracy and accountability.
Requirements
- 1+ year of accounting, billing, media finance, or related experience, preferably within a media agency, advertising, or marketing environment.
- Understanding of digital media billing across Search, Social, Programmatic, Paid Media, and related advertising channels.
- Experience working in NetSuite, including billing, reconciliation, and financial record management.
- Advanced Microsoft Excel skills with experience organizing, reconciling, and analyzing financial data.
- Experience managing high volumes of vendor invoices and financial documentation.
- Familiarity with EDI invoicing systems is preferred.
- Experience with QuickBooks is a plus.
- Ability to think critically and solve problems with sound financial judgment.
- Exceptional attention to detail and accuracy.
- Ability to prioritize effectively while managing multiple deadlines in a fast-paced environment.
- Ability to communicate clearly and professionally with teammates, stakeholders, and vendor partners.
- Ability to build collaborative relationships across departments through trust, responsiveness, and accountability.
- Ability to learn quickly, embrace feedback, and continuously seek opportunities to improve processes and efficiency.
- Must be authorized to work in the United States for any employer.
- Candidates must reside in and be able to commute to the Irvington office three days per week.
