About the Role

Provide general assistance to the team and company projects, offering a positive and friendly image to patients and visitors. Receive, assist, and direct patients to the appropriate service or healthcare professional courteously and efficiently. Undertake administrative duties to support clinic operations and clinical staff, facilitating effective communication between patients, the Practice, Secondary Care, and other healthcare agencies.

Responsibilities

  • Opening up/locking up of Site premises and maintaining security.
  • Maintaining and monitoring the appointments system.
  • Calling patients and booking appointments.
  • Processing telephone requests for appointments.
  • Updating patient records according to project guidelines.
  • Taking messages and passing on information.
  • Initiating contact with and responding to requests from patients, team members, and healthcare agencies.
  • Clearing and re-stocking consulting rooms.
  • Dealing with clinical waste.
  • Keeping the work area free from obstructions and clutter.
  • Participating in team meetings and contributing to process improvement initiatives.
  • Monitoring the effectiveness of the appointment system and reporting issues.
  • Working closely with other staff members to ensure smooth operations.
  • Participating in pilot initiatives.
  • Providing exceptional service to patients and external contacts.
  • Maintaining a calm and helpful demeanor in high-pressure situations.
  • Performing other administrative ad-hoc duties.
  • Registering patients on Emis community.
  • Scheduling, rescheduling, and canceling patient appointments.
  • Answering and directing incoming telephone calls professionally.
  • Responding to inquiries and ensuring timely communication of information.
  • Maintaining accurate and up-to-date patient records.
  • Creating and sending Discharge Summaries and other investigation forms/referrals electronically.
  • Contributing to conducting audits.
  • Safeguarding patient information and complying with data protection regulations.
  • Divulging information about colleagues, healthcare workers, or the organization only to authorized persons.

Requirements

  • Experience with EMIS (Essential)
  • United Kingdom work authorisation (required)
  • DBS Checked
  • Experience in a Medical Receptionist Role
  • Administrative Experience
  • Telephone Handling
  • EMIS Experience
  • Ability to Work Independently

Skills

  • Primary Care/General Practice experience (Desirable)
