Responsibilities

  • Carry out the full range of office support work, including managing processes and monitoring schedules for Task team leaders and senior staff.
  • Perform non-routine operational tasks, requiring proactive questioning and utilization of resources like the World Bank intranet and operational programs.
  • Proactively make connections with staff in other Country Offices and Washington-based HQ for guidance and advice.
  • Liaise extensively with service units, internal team members (HQ and field), and external counterparts.
  • Draft routine correspondence, project-related documents, and proofread materials.
  • Incorporate agreed comments into documents using shared drives and software capabilities.
  • Produce complex text, reports, and figures using word processing, spreadsheets, PowerPoint, or desktop publishing software.
  • Coordinate schedules, monitor changes, and communicate information to appropriate staff.
  • Solve non-routine problems, such as identifying correct operational procedures.
  • Prepare and logistically plan for events like conferences, workshops, and negotiations.
  • Create AIS, update milestones, and track assigned tasks, project steps, and timetables in the Operational Portal and SAP.
  • Monitor task budgets/trust funds for specific projects.
  • Assist with processing Consultant contracts and travel.
  • Coordinate with relevant staff to provide assistance and information on project-related matters.
  • Maintain current distribution lists, phone/address lists, and distribute documents for the team.
  • Maintain up-to-date work unit project and other files (paper and electronic).
  • Interact frequently with internal and external contacts, including government officials, consultants, and external organizations.

Requirements

  • High school diploma with 5 years of experience or equivalent combination of education and experience.
  • Excellent knowledge of Microsoft Word, Excel, Outlook, and PowerPoint.
  • Ability to quickly become proficient in using advanced functions of Bank standard computer applications and state-of-the-art software.
  • Ability to retrieve reference materials from various sources.
  • Effective time management and organizational skills.
  • Ability to produce high-quality work under pressure.
  • Demonstrated initiative and resourcefulness.
  • Committed team player with demonstrated inter-personal skills.
  • Ability to work effectively in a multi-cultural environment.
  • Ability to draft routine correspondence and edit materials using proper grammar, punctuation, and style.
  • Ability to follow through on team priorities in the absence of the team leader.
  • Ability to respond to requests for information.
  • Ability to adapt to changing business needs by continuous learning/training.
  • Must have the legal right to work in Australia.
