About the Role
The Patient Access Assistant is the first point of contact for all patients and outside entities, setting the tone for every encounter. This role handles clerical and administrative support to optimize workflow procedures in the outpatient campus.
Responsibilities
- Check patients in/out, verify insurance, collect payments, schedule appointments, answer phones, and monitor patients for health screenings.
- Answer phone calls and redirect them to the appropriate staff member.
- Engage, coach, motivate, and support individuals via phone or open access to improve retention and success.
- Establish and maintain professional relationships with individuals seeking services or current patients to facilitate engagement in treatment and improve retention.
- Assist with lobby management, checking in patients, monitoring the lobby, and calling patients back to meet with staff.
- Schedule appointments for all programs within the outpatient clinic.
- Provide general support and information to visitors.
- Accurately set up and maintain clinical records, including demographics, insurance, billing, and basic health information, and perform routine verification and updates.
- Conduct clerical duties such as monitoring department email and fax, answering phones, scanning information into electronic health records, and signing visitors in and out.
- Maintain a professional environment in waiting areas by recognizing and addressing situations needing attention.
- Exercise problem-solving and best practices within provider schedules.
- Maintain clinical documentation upholding all 42 CFR/HIPAA regulations and confidentiality protocols.
- Attend staff meetings, in-service, and conferences/trainings as assigned.
- Maintain a positive and respectful attitude, sharp focus, and organization to meet objectives on time.
- Convey information inter/intra agency and communicate with the team regarding changes and conflicts.
- Participate in cross-training with other staff.
- Perform other duties as assigned or that may develop.
- Management has the right to add or change the duties of this position at any time.
Requirements
- High school diploma or GED required.
- One (1) year of medical office experience and/or one (1) year of job-related experience providing medical, mental health or substance abuse-focused services to individuals with chronic medical conditions and/or severe and persistent mental illness is preferred.
- Must maintain a valid driver’s license and acceptable driving record.
