About the Role

The Team Assistant (TA) is responsible for providing full secretarial and administrative support to a team of financial staff within a specific department. The TA performs various administrative and secretarial duties, coordinates team needs, establishes priorities, and follows through with multiple tasks, exercising frequent independent judgment.

Responsibilities

  • Provide secretarial support, including diary management and appointment scheduling.
  • Liaise with global assistants and provide support to visiting colleagues.
  • Maintain constant liaison with internal management, financial staff, and external clients.
  • Arrange internal and external meetings, lunches, and dinners.
  • Assist with travel bookings, itinerary production, and adherence to travel policy.
  • Support visa applications, passport needs, and currency requirements.
  • Book ground transportation, including taxis and cars.
  • Prepare and submit expense reports using the online system, ensuring receipts and adherence to policy.
  • Reconcile monthly corporate/personal credit cards within deadlines.
  • Ensure relevant travel refunds are processed.
  • Set up and maintain organized filing systems.
  • Support new joiners with company policies and procedures.
  • Organize team social events, conferences, and activities within budget.
  • Participate in office admin meetings and events.
  • Carry out project work as required.
  • Perform ad hoc duties to ensure efficient team operation.
  • Provide general support and cover for other Assistants across the department.
  • Act as Fire Officer/First Aider if required.

Requirements

  • Degree level education or of graduate calibre.
  • Excellent organizational, oral, and written communication skills.
  • Detail-oriented with the ability to prioritize workload.
  • Competent user of Microsoft Office products, including PowerPoint and Excel.
  • Fluent in English; additional European languages are an advantage.
  • A positive, flexible, responsive, and service-oriented attitude.
  • Ability to meet deadlines in a timely manner.
  • Resilient and able to deal with a high-pressure environment and demanding individuals.
  • Flexibility, resourcefulness, and good anticipation are important qualities.
  • Ability to act decisively and on own initiative.
  • Confident with an outgoing personality and practical approach to problem-solving.
  • Ability to effectively interact with all levels of staff and maintain confidentiality.
