About the Role
Cumming Group is seeking a Senior Project Coordinator to support operational staffing and project delivery teams. This role involves coordinating resource planning, staffing assignments, and utilization tracking in Deltek, alongside providing administrative support to project leadership and teams. The position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities
- Utilize Deltek Vantagepoint to manage staffing assignments and labor utilization.
- Collaborate with leadership to assign staff based on labor categories, experience, skill, availability, project requirements, and utilization goals.
- Monitor staffing trends, identify potential issues, and propose solutions to maximize staff utilization and prevent burnout.
- Update project staffing plans and resource assignments in Deltek Vantagepoint.
- Participate in monthly staffing review meetings to assess needs, balance workloads, and optimize utilization.
- Maintain an overview of staff utilization, project assignments, and anticipated resource needs.
- Develop, customize, and manage reports for leadership and project teams on staffing needs.
- Prepare and distribute monthly project, employee, and utilization reports.
- Serve as an internal resource for Deltek Vantagepoint project planning, resource management, and staffing processes.
- Work with the Billing Department to ensure projects are accurately set up and updated in Deltek.
- Facilitate communication among project managers, team members, clients, and stakeholders.
- Schedule and facilitate meetings with stakeholders.
- Coordinate project meetings, agendas, action items, and follow-up activities.
- Manage calendars for the principal in charge and project management teams.
- Act as a liaison between the project management team and users/clients.
- Manage a multi-line telephone system to address, screen, or redirect calls.
- Welcome clients and guide them to their intended destination.
- Assist in document preparation tasks, including printing or emailing.
- Provide general administrative support for efficient project operations.
Requirements
- Bachelor’s degree preferred, or an equivalent combination of education and relevant work experience.
- Minimum of 5 years of experience in project coordination, project administration, resource management, or a related field.
- Knowledge of Deltek Vantagepoint preferred but not required.
- Proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, Outlook, and Teams.
- Analytical skills with the ability to evaluate staffing data, utilization metrics, and resource planning reports.
- Excellent organizational, time management, and multitasking abilities.
- Strong written and verbal communication skills with a professional and client-focused approach.
- Ability to work independently while effectively collaborating with cross-functional teams.
- Demonstrated attention to detail, accuracy, and commitment to maintaining high-quality work.
