About the Role

Creates and maintains provider and physician urgent care, after-hours and holiday schedules. Provides administrative and analytical support to the Clinic Management team with projects and tasks, including clinic floor needs. Ensures compliance and confidentiality while promoting the organization's mission and philosophy.

Responsibilities

  • Create and maintain monthly provider and physician urgent care, after-hours, and holiday schedules for all applicable clinics.
  • Communicate and collaborate with Department Chiefs on call schedules.
  • Maintain provider time off requests and enter PTO or worked hours in the timekeeping system.
  • Provide administrative and analytical support to the Clinic Management team.
  • Assist support staff, providers, and management to ensure clinic efficiency, including phone and floor coverage.
  • Receive patient and provider calls, provide resolution, or disseminate to the appropriate management team member.
  • Coordinate facility requests.
  • Format, type, and proofread correspondence, including memos and letters.
  • Coordinate meetings, issue reminders, confirm attendance, and order requested items.
  • Ensure completion of clinic projects.
  • Compile and maintain on-call schedules for each department, enter them in Amion and other locations, and ensure outside entities receive call schedules.
  • Create and maintain the holiday staff schedule.
  • Support AH staff scheduling as needed.
  • Perform essential clerical functions.
  • Adhere to all company policies, including OSHA, HIPAA, compliance, and Code of Conduct.
  • Maintain regular and dependable attendance.
  • Follow core competencies set forth by the Company.
  • Perform other duties as assigned.

Requirements

  • High school diploma or GED.
  • Two (2) or more years of office assisting or clerical experience preferred.

  • Proficient in Microsoft Office applications (Outlook, Word, Excel) at an intermediate skill level.
