Responsibilities

• Support all administration requirements within the depot.
• Liaise and work alongside the manager within the daily work order process.
• Issue Purchase Order numbers for parts and validate invoices.
• Deal with any queries relating to work orders.
• Process and validate work orders to a high level of accuracy.
• Ensure all queries and tasks are dealt with efficiently and professionally.
• Support colleagues daily at a highly professional level.
• Assist customers daily with queries, providing excellent customer service.
• Maintain all in-house ERP system updates.
• Deal with Warranty queries.
• Support the Depot Manager with APM.
• Manage daily Invoicing/WIP targets and job cards.
• Raise PO for parts and receive parts into stock.
• Manage stock.
• Authorize payment of invoices.

Requirements

• Previous experience processing Work Orders/Invoices.
• Administrative Experience - essential.
• Database management.
• IT literate (Microsoft Office/Excel).
• Strong written & verbal communication skills to provide a professional approach to both external & internal contacts.
• Ability to meet deadlines, task orientation, and prioritization in a fast-paced environment.
• Methodical and systematic approach.
• Excellent front-line customer handling skills, building relationships.
• Strong numerical ability & attention to detail.
• Highly self-motivated and able to work individually and as part of a team.

Skills

• Maths and English
• Mechanical background (desirable)
• Knowledge of the transport/automotive/refrigeration Industry (desirable)
• Knowledge of ERP Systems/R2C (desirable)
