About the Role
As an Executive Assistant, you will report to the Head, Data, Analytics & Fraud. Your day-to-day activities will be critical to building stakeholder confidence and upholding the standards of operating responsibly. We are looking for an efficient self-starter with the ability to operate effectively in a fast-paced environment. You are a masterful problem-solver, highly organized and have exceptional communication skills. You also have an excellent ability to build and maintain relations and help drive accountability.
Responsibilities
- Provide day-to-day management of the Leader’s calendar and activities, understanding business goals and/or external priorities to ensure high value time utilization.
- Build effective relationships by understanding the business, assigning priority to meeting invites and proactively assessing urgency.
- Provide updates to the Leader on upcoming meetings, ongoing obligations, project deliverables, and timelines.
- Timely preparation and presentation of materials for meetings.
- Coordinate completion of deliverables by the assigned Leader.
- Collect materials in preparation for requirements, update materials, and review amendments with stakeholders.
- Dispatch meeting invitations, book meeting rooms, and arrange for resources and other requirements to facilitate smooth and efficient meetings.
- Support the coordination and implementation of department events.
- Prepare PowerPoint presentations (developing, formatting, proofreading, printing) and other documents.
- Organize travel arrangements and related travel documents based on the Leader's travel preferences.
- Develop and maintain a filing system, ensuring business and operational reports, forms, and other documentation are readily available.
- Regularly review and manage corporate expenses and usage, ensuring reimbursement is within guidelines.
- Possibly participate in committees such as the Diversity & Inclusion committee to stay abreast of key events and keep the Leader informed of upcoming events, programs, and initiatives.
Requirements
- A minimum of 5+ years as an executive assistant/administrator and/or Business Manager to senior leaders.
- Eligibility to work for Interac Corp. in Canada in a full-time capacity.
- Strong analytical and problem-solving skills with the ability to present clear, concise, and effective solutions.
- Critical thinking and reliance on experience and judgment to plan and accomplish goals.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Strong communication skills, both verbal and written, with the ability to collaborate and build relationships with key stakeholders.
- Meticulous attention-to-detail and excellent time management and organizational skills.
- Expertise in social media and collaboration tools like LinkedIn.
- Ability to handle stressful situations with measured calmness and decisiveness.
- Exceptional common sense, maturity, discretion, and the ability to maintain confidentiality.
- Successful candidates will be required to complete background checks, which may include Canadian Criminal Credit Check, Canadian ID Cross-Check, Public Safety Verification, 5-year Employment Verification, Education Verification, Credit Check, and Social Media Check.
