About the Role
The Operation Coordinator manages daily logistics, including shipping & receiving, export license applications, and ERP system activities to support logistics operations.
Responsibilities
- Manage detailed schedule and ERP data entry for incoming and outgoing products.
- Perform costing and cost accrual of inventory using ERP Quantum’s Lot Module.
- Coordinate international and domestic shipments with freight forwarders/couriers, ensuring compliance with export regulations.
- Generate commercial invoices and provide shipment details to customers.
- Handle receiving, shipping, and coordinate with the QA team to ensure on-time delivery to customers and between NASAM and test labs.
- Manage data entry and input within the ERP system (Quantum).
- Support the Sales Coordinator with daily/weekly forecast open order backlog analysis from ERP to identify potential execution issues.
- Review ERP entries and manage timely corrections.
- Coordinate with the corporate finance team for proper vendor invoice entry.
- Utilize ERP Quantum for RMA returns to vendors, customer claims, and inventory scrapping post-testing.
- Maintain an organized, clean, and safe work area adhering to safety standards and quality practices.
Requirements
- Ability to perform each essential duty satisfactorily.
- Bachelor's Degree (B.A.) in Business Administration or a related field, or equivalent.
- Five to Ten+ years of experience in BtoB Sales or Operation coordination is highly preferred.
- Previous experience in the aerospace and defense industry is highly preferred.
- Previous experience with shipping and import/export regulations is highly desired.
- Knowledge and recent experience with diverse and complex business relationships.
- Understanding of international business operations with high traffic.
- Ability to stand 2 to 4 hours a day.
- Ability to work with hands and arms with extreme accuracy.
- Ability to walk and sit on a regular basis.
- Ability to occasionally lift and/or move up to 10 pounds.
- Ability to occasionally lift and/or move up to 25 pounds.
- Familiarity with customary physical demands for an office environment.

- Thorough knowledge of materials planning systems (MRP/ERP) requirements and order generation process logic, preferably with Quantum ERP.
- Knowledge to apply general use of databases/spreadsheets.
- Ability to complete the planning of workflow and meetings.
- Ability to maintain effective internal controls for asset protection and accurate financial reporting.
- Strong organizational, project, and proposal management skills.
- Experience with AS9120 and ISO9001 Standards.
