About the Role

The Senior Planning & Coordination Manager for On Location's Combat Sports team will be central to collaborating with over 10 functional areas to deliver and innovate Hospitality and VIP Experience programs alongside UFC, WWE, Zuffa Boxing, and TKO.

Responsibilities

  • Collect and evaluate functional area project deadlines, milestones, and deliverables.
  • Measure project health and summarize progress against milestones.
  • Ensure all parties are on track with project requirements, deadlines, and schedules.
  • Identify key areas of risk or delay requiring escalation to executive leadership.
  • Serve as a client-facing team member, coordinating meetings, reporting, and project deliverables.
  • Prepare status reports by gathering, analyzing, and summarizing relevant information.
  • Establish and maintain effective project communication plans.
  • Facilitate change requests to inform all parties of impacts.
  • Act as a central hub of information and support for the team.
  • Support strategic growth initiatives within the Combat team from creation to completion.
  • Build, manage, and train project management systems and new tools.
  • Accelerate alignment across teams, integrate functions, define and drive processes, and coach teams and leaders.
  • Establish operational accountability and share best practices across event teams.
  • Ensure teams maintain best practices with data across systems.
  • Work with people with different styles and navigate learning situations.
  • Keep open and honest communication, form working relationships, and motivate team members.
  • Monitor project progress and set deadlines.
  • Anticipate client-side delays and apprise the team of changes in client needs.
  • Solve issues that arise during projects.
  • Anticipate potential project hiccups.
  • Maintain control of a project through adaptability and problem-solving.

Requirements

  • A bachelor's degree or master's degree in Event or Project Management.
  • Proven experience in event operations, event product building, project management & project management tools.
  • Strong communication skills.
  • Forward thinker with strong planning skills.
  • Ability to look ahead at possible scenarios and manage different outcomes.
  • Ability to work in a fast-paced environment across multiple time zones.
  • Ability to prioritize projects and deliverables as demands shift.
  • Ability to distill complex projects into a simple and understandable method.
  • Ability to lead project teams of various sizes and see them through to completion.
  • Strong understanding of formal project management methodologies.
  • Experience as a large-scope project manager.
  • Able to complete projects in a timely manner.
  • Understanding of Project Management Systems; Airtable, Smartsheet.
  • Excellent PowerPoint capabilities.
  • Event Management experience.
  • Internal & External client relations experience.
