About the Role

Vertus is seeking an Assistant Property Manager to ensure residents have the best rental experience and consistently deliver the highest levels of customer service, acting as a brand ambassador.

Responsibilities

  • Oversee, manage, and take ownership of reactive maintenance through the helpdesk, escalating issues as appropriate.
  • Ensure all helpdesk tickets are responded to within SOP timeframes.
  • Assist in controlling costs for apartment turnarounds, ensuring costs are recovered from deposits and competitive quotes are obtained for repairs.
  • Manage the priority of reactive maintenance, assigning tasks to engineers within appropriate timeframes/SLAs.
  • Effectively manage the diaries and job allocation for Vertus engineers.
  • Assist in the full check-in and check-out process, including conducting inspections, ensuring key returns, and meter readings.
  • Act as a key representative of Vertus, maintaining positive relationships with tenants.
  • Ensure Internal Property Management systems are used correctly and kept up to date.
  • Assist in monitoring apartment voids, flushing for long-term vacancies, and minimizing energy usage.
  • Assist in obtaining competitive quotes from approved contractors for external repairs.
  • Stay updated on legislative changes and suggest improvements.
  • Assist in reviewing check-out reports and generating dilapidations lists for tenants.
  • Ensure all tasks follow SOP processes.
  • Assist with mid-year Right to Rent checks.
  • Assist in scheduling and carrying out planned maintenance tasks according to Statutory Compliance responsibilities.
  • Organize renewal of safety certification and remedial works during tenancy.
  • Prepare mid-term reports and provide feedback to tenants on breaches.
  • Assist with end-of-tenancy matters, including receiving notices, advising on move-out processes, reviewing agreements, checking apartments, and scheduling inventories.
  • Manage car parking changes.
  • Book functionality checks on the PMS.
  • Notify the leasing team of upcoming unit availability.
  • Inform utility companies of move-outs.
  • Provide support and cover to Property Managers during busy periods or absences.
  • Provide support to the Residential Building Manager.
  • Assist in the negotiation and collection of rent arrears.
  • Promote and implement sustainability initiatives.
  • Carry out other reasonable duties as instructed.

Requirements

  • Minimum of 1 year of experience in property management is essential.
  • IRPM Level 2 and/or ARLA Level 3 qualification or working towards it is highly desirable.
  • Good overall education to ‘A’ Level / NVQ Level 3 or 4 standard or equivalent (including English & Math's).
  • Strong IT skills.
  • Understanding of principal aspects of legislation relating to Residential Property Law, including Section 8 requirements, is essential.
  • Working knowledge of Health and Safety requirements and legislation.
  • Excellent communication skills.
  • Superior level of customer service.
  • Ability to remain calm and professional.
