About the Role
MSG Live is seeking a driven, detail-oriented Booking Coordinator to support bookings operations through administrative, organizational, and communication skills. This entry-level role reports to the Senior Vice President of Booking & Operations and collaborates with internal teams and external partners to ensure seamless event scheduling and execution.
Responsibilities
- Provide day-to-day support to the bookings team, including calendar management, correspondence, phone coverage, expense reports, and supply inventory.
- Manage the contract administration process from initiation through execution, coordinating legal documentation, monitoring workflow milestones, and ensuring all required steps are completed.
- Coordinate travel arrangements and manage ticket requests for internal stakeholders.
- Maintain department records, timesheets, and office equipment systems.
- Communicate venue availability to promoters and agents.
- Place and manage venue holds; update and maintain the venue booking calendar.
- Collaborate with internal teams on event logistics from booking to wrap-up.
- Facilitate contract processing: deal letters, booking memos, license agreements, insurance certificates, and confirmation documents.
- Serve as liaison between MSG Entertainment and promoters/agents/managers to ensure event needs are met.
- Track and report on event status and metrics.
- Generate detailed itineraries, executive reports, and confidential memos.
- Assemble weekly booking reports for senior leadership.
- Oversee post-production correspondence and reconciliation processes.
- Coordinate the timely submission of attendance and revenue data to trade publications and stakeholders.
- Provide exceptional experiences for guests, partners, and team members, adhering to appearance and presentation guidelines while on-site.
Requirements
- Bachelor’s degree required; Music Industry or related field preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent verbal and written communication skills with the ability to interface at all organizational levels.
- Exceptional organizational skills and acute attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Demonstrated discretion and professionalism with confidential information.
- Ability to work a flexible schedule including nights, have split days off, work weekends and holidays in a 24 X 7 environment.
