About the Role

As a Director's Assistant, you will support the management of the Berlin Biennale for Contemporary Art with organizational and administrative tasks, ensuring smooth office operations. You will be responsible for appointment coordination, preparing decisions, and serving as the primary contact for internal and external inquiries. You will also independently coordinate projects such as the selection process for the artistic direction and the Biennale's opening events.

Responsibilities

  • Office management for the Directorate
  • Independent appointment coordination and handling of inquiries for the Directorate
  • Independent communication with cooperation and business partners, and support for the Directorate in daily business
  • Planning and monitoring of schedules for the Directorate's office and temporal coordination with the Berlin Biennale's departments
  • Organizational and content preparation of appointments for the Directorate
  • Preparation and organization of interdepartmental meetings
  • Support in preparing content contributions for lectures, conferences, publications, statements, etc.
  • Preparation of documents for funding applications, sponsorship requests, cooperations, and other inquiries and agreements; general research activities for the Directorate
  • Coordination of communication with the German Federal Cultural Foundation as the main funder
  • Coordination of cross-institutional topics and joint correspondence, and preparation of team meetings with the Directorate of KW Institute for Contemporary Art
  • Coordination with the board and members of the KUNST-WERKE BERLIN e. V. association for all matters concerning the Berlin Biennale
  • Travel planning and booking, as well as cost accounting for the Directorate
  • General daily office organization and international office correspondence (phone, email, internet, written communication)
  • Independent projects: Support and preparatory organization, as well as guest management of the opening events and special events with cooperation partners
  • Management of the accreditation process for trade visitors and VIPs
  • Onboarding and supervision of temporary staff for opening events, support for related evaluations and employment certificates
  • Support for onboarding and offboarding processes and coordination of workplace setup and equipment in coordination with HR, building management, and IT
  • Coordination of the selection process for the curatorial responsibility of the Berlin Biennale and organization of selection meetings (travel, accommodation, support, fee and travel expense settlement)

Requirements

  • Completed (technical) college or university education and/or comparable relevant professional experience, ideally in the cultural field (cultural studies/management, project management in the cultural sector, office management)
  • Proactive and independent work style with a focus on essentials, reliability, and excellent communication skills
  • Experience in goal-oriented coordination of complex communication and work processes
  • Social skills, integrity, discretion, and a strong sense of responsibility
  • Expertise and interest in the national and international art and cultural landscape and its actors
  • Knowledge of the Federal Travel Expenses Act (Bundesreisekostengesetz) and the system and guidelines of public cultural funding
  • Proficient in MS Office (especially Word, PowerPoint, Excel) and common application software
  • Very good German and English language skills, both written and spoken
