About the Role
Ares is seeking an Executive Assistant to support the European Real Estate Debt team in London. This role is part of a centralized Administrative function, providing seamless professional support to ensure the smooth running of the team and business. The ideal candidate is a self-starter with excellent follow-up, communication, time management, and prioritization skills, capable of handling multiple requests from various professionals. This role also involves collaborating with other Executive Assistants for coverage during absences.
Responsibilities
- Perform administrative activities for all professional levels.
- Collect and process team expenses using the company expense system.
- Manage heavy travel itineraries.
- Competent in complex calendar management.
- Create meeting agendas and prepare marketing presentations.
- Monitor professionals' whereabouts and upcoming meetings, providing reminders.
- Dial into conference calls and print meeting documents.
- Answer a high volume of calls professionally.
- Screen calls and take messages with sensitivity.
- Manage high-volume copy/print jobs, including binding and distribution.
- Assist with special projects as requested.
- Support other Executive Assistants and provide holiday cover.
- Coordinate internal and external meetings and conference calls.
- Liaise with other Executive Administrators globally.
- Coordinate complex international travel arrangements, including road shows.
- Create detailed travel itineraries.
Requirements
- Minimum of 5-8 years of experience as an Executive Assistant or Administrative Assistant supporting senior professionals in a professional, fast-paced environment.
- Proficiency in MS Office (Outlook, Word, Excel, PowerPoint, OneNote, Teams).
- Experience preparing agendas, calendars, and travel management (domestic and international).
- Experience in the financial industry preferred.
- Experience working in a team environment with multiple Executive Assistants preferred.

- Adept at managing multiple tasks in a fast-paced environment for multiple professionals.
