About the Role

Responsibilities
- Manages complex calendars for assigned Leadership Team, proactively identifying and resolving scheduling conflicts.
- Oversees meeting logistics, including appointment management and distribution of meeting invitations.
- Coordinates conference room bookings and ensures proper setup for teleconferences and video meetings.
- Collaborates with the executive assistant team and firmwide stakeholders to ensure smooth daily operations.
- Arranges domestic and international business travel, including flights, itineraries, and accommodations.
- Manages expense reports, receipts, reimbursements, and credit card reconciliations.
- Maintains professional licenses and tracks PDH credits across multiple states.
- Organizes internal and external meetings, including engagements with employees and clients.
- Provides backup support for executive assistants during absences.
- Assists the Office Operations team with office internal events and manages Leadership Team meetings and/or off-site programs.
- Manages Department of Buildings filing paperwork and submissions.
- Handles sensitive information with discretion and maintains confidentiality.
- Performs additional administrative duties as assigned.
Requirements
- Bachelor’s degree or equivalent experience
- 5+ years of experience supporting C-level executives
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Excellent written and verbal communication skills
- Strong organizational and time-management abilities
- High level of professionalism and confidentiality
- Ability to work independently and as part of a team
- Experience with travel coordination and expense reporting tools (e.g., Concur)
