About the Role

The Team Leader & Project Manager, Treasury Services is responsible for planning and controlling team workloads and resources daily to ensure effective allocation and meet deadlines and performance standards. The role will continually review the team structure to deliver seamless payment projects, reduce key person dependencies, and develop staff for career progression. The individual will manage staff, including performance management, training, and leadership through coaching. This role also involves project managing payments/mailings and other projects, ensuring accurate and timely dispatch, and assisting clients with new payment/mailing facilities.

Responsibilities

  • Contribute to the development of a culture that supports strategic goals and values as a leader in quality Registry Services.
  • Actively improve and enhance communications with various teams ensuring timely and effective information provision.
  • Develop and implement continuous improvement strategies to enhance client service practices.
  • Ensure a hindsight review is completed for every project within 4 weeks of its close.
  • Effectively apply project management skills, resource allocation, people leadership, and workload priorities.
  • Ensure 100% delivery of all payments and mailings.
  • Manage the end-to-end UCM process with the bank reconciliations team.
  • Ensure all replacement payments are processed according to agreed schedules.
  • Manage the preparation, review, and delivery of accurate and timely reconciliations of bank accounts.
  • Ensure timely resolution of NELs.
  • Proactively review proposed Reinvestment Plan terms and conditions.
  • Prepare and provide direct credit facility advice to clients.
  • Provide support services to clients, including assisting with dividend stationery design.
  • Organise daily workflow of the team in priority order.
  • Prepare and manage weekly statistical reports.
  • Attend operational/client and staff meetings as directed.
  • Assist Manager with weekly reporting requirements, drafting invoices, and managing fees.
  • Actively support all Oscar and data analytics process improvement initiatives.
  • Provide leadership including coaching, motivation, and performance counselling.
  • Provide regular feedback to staff on performance and assist with performance reviews.
  • Conduct “on the job” training for team members and follow up to address skill gaps.
  • Delegate challenging work to staff to ensure cross training and multi-skilling.
  • Conduct staff performance reviews half yearly and annually.
  • Continually provide feedback to Manager regarding staff training needs and performance.
  • Maintain a high-level working knowledge of all relevant regulations.
  • Assist staff with complex inquiries/complaints and technical issues.
  • Ensure the Payments Policy and Procedures manual is maintained and up-to-date.
  • Develop and maintain detailed knowledge of the securities and related industries.
  • Maintain a detailed knowledge of the registry system, imaging systems, and other applications.
  • Actively support and meet all compliance, audit, statutory, and risk management processes.

Requirements

  • Five years minimum experience in the financial services industry.
  • High level of understanding within the securities industry.
  • Demonstrated experience in managing payment services and reinvestment plans.
  • Demonstrated experience in/knowledge of the securities industry and financial markets, including Corporations Law, Business Rules and ASX Listing Rules, especially regarding payments.
  • Demonstrated experience in successfully managing multiple projects using project management techniques.
  • Highly developed analytical and problem solving skills.
  • Effective oral and written communication skills including strong negotiation skills.
  • Ability to liaise successfully with internal and external parties.
  • Effectively lead and manage a work team and represent MUFG Corporate Markets at client meetings.
  • Demonstrated high level of initiative, motivation and organisational skills.
  • Ability to determine work priorities, and work independently to strict deadlines.
  • Proficiency with project management tools e.g. Microsoft Project, Microsoft Excel.
  • Flexibility and demonstrated ability to meet demanding deadlines and work the hours required.
  • Ability to prepare and maintain project budgets, analyse financial information and prepare concise management reports.
  • Analytical and problem solving skills.
  • Candidates must have the relevant work rights to be considered.
