About the Role

This fixed-term contract role directly supports the ISSB Chair, requiring close collaboration with the Chair's Counsellor and seamless coordination with global colleagues. It emphasizes professionalism, adaptability, and cultural sensitivity within an international organization focused on sustainability standards.

Responsibilities

  • Extensive, proactive, and flexible diary management across multiple time zones with frequent follow-up and close coordination with the Chair’s Counsellor to optimize the ISSB Chair's time and ensure smooth day-to-day engagements.
  • Ensure the ISSB Chair is punctual for meetings, engagements, or travel commitments.
  • Coordinate dynamic domestic and international travel plans, including transport and accommodation bookings, visa procurement, and other necessary travel documentation.
  • Oversee logistical aspects of virtual and in-person meetings, including verifying dial-in details, reserving meeting spaces, and managing restaurant bookings.
  • Provide proactive IT assistance, such as setting up virtual meetings and resolving technical issues, liaising with the helpdesk when necessary.
  • Greet and facilitate the reception of external visitors.
  • Process the ISSB Chair's professional expenses monthly and pre-approve travel and expense claims for the ISSB Chair's direct reports.
  • Handle administrative duties including managing correspondence, drafting responses, obtaining approvals, document management, note compilation, contact updates, and business card handling.
  • Liaise with internal staff and external stakeholders at all levels.

Requirements

  • Extensive and proven experience supporting a senior-level executive (Executive Committee Member or higher) in an international environment.
  • Experience managing extremely complex travel and meeting arrangements across time zones is essential.
  • Exceptional reliability, planning, organizational, and administrative skills with frequent follow-up.
  • High level of integrity and professionalism; ability to be discrete and manage confidential or sensitive information.
  • Ability to work collegially and effectively with staff and stakeholders at all levels, both in-person and remotely.
  • Excellent command of written and spoken English is essential.
  • Resourceful and proactive approach.
  • Ability to work flexibly and manage multiple and diverse responsibilities.
  • Ability to prioritize workload appropriately.
  • Ability to respond to conflicting demands on an urgent and ad-hoc basis, whilst maintaining composure and a high level of attention to detail.
  • Proficiency in MS Office (Outlook, Word, Excel, and PowerPoint) and Adobe Reader is required.

Skills

  • French language proficiency is a plus.
  • Proficiency in iOS is appreciated.
